Responsibilities:
- Efficiently manage and maintain the calendars and track critical deadlines for assigned personnel or departments. This includes scheduling appointments, coordinating meetings, and sending timely reminders.
- Create, edit, and maintain various professional materials, including presentations for meetings, detailed reports, and professional correspondence (e.g., letters, memos, emails).
- Coordinate effective communication with external vendors (e.g., placing supply orders, scheduling maintenance), partners (e.g., physician offices and hospitals), and other stakeholders (e.g., insurance providers).
- Schedule and coordinate meetings, appointments (both internal and external), and travel arrangements (booking flights, accommodations, and ground transportation), ensuring smooth logistics and providing necessary itineraries.
- Assist in managing departmental budgets by tracking expenses, processing purchase orders, and accurately preparing expense reports for reimbursement.
- Perform a wide range of general administrative duties, including professionally answering and directing phone calls, managing email correspondence and prioritizing inquiries, and maintaining organized filing systems (both physical and electronic) for easy retrieval of information. This also includes occasional lifting and moving of typical office supplies and materials, such as boxes of paper, small equipment, or delivered packages, weighing up to 25 pounds.
- Uphold the highest standards of patient confidentiality in all interactions and the handling of sensitive medical and personal information, adhering to HIPAA regulations.
Qualifications:
- Previous administrative experience is preferred, ideally within a healthcare setting.
- Demonstrated ability to effectively multi-task, prioritize workload efficiently to meet competing demands, and consistently adhere to deadlines.
- Excellent written and verbal communication skills with a professional, clear, and courteous demeanor in all interactions.
- Proficiency in the Microsoft Office Suite, including Word (creating documents, mail merges), Excel (managing spreadsheets, basic formulas), and PowerPoint (developing presentations).
- Strong attention to detail and a proven ability to maintain a professional and confidential work environment, ensuring accuracy and discretion.
