POSITION SUMMARY:                      

The Seasonal Permit Associate will assist in planning, coordinating, processing, and distributing permits for the use of Battery Park City Authority’s (BPCA) public spaces. In addition, they will have the opportunity to learn about BPCA’s mission, its 92 acres of landscape, BPCA green initiatives, composting programs, and art installations, including its 36 acres of parks and open spaces. Through the permitting process, they will gain insight into how BPCA’s parks and public spaces are utilized. This includes receiving applications, understanding insurance requirements, and executing final permit agreements. Additionally, they will learn about BPCA’s green initiatives and composting programs for events.


Essential Duties:

  • Work closely with the Associate Director of Event Coordination and Management on coordinating BPCA’s permit calendar of events
  • Monitor incoming online permit application requests for permits, as well as the Department’s email inbox, daily
  • Create and manage an electronic library of all incoming permit applications for FY2025 (including those received in November 2024) and all processed permits in the Department’s OneDrive folder
  • Attend and conduct site walk-throughs to scout potential event locations as directed by the Associate Director of Event Coordination and Management
  • Communicate with permit applicants and other BPCA departments, as necessary, to assist with the coordination and processing of permitted events
  • Ensure requested event dates do not conflict with the Authority’s Parks Programming events or other permitted events
  • Act as the liaison between the Authority and its insurance vendor regarding permittee’s insurance requirements and catalog compliant insurance documents
  • Coordinate, draft, and issue permits as directed
  • Create, maintain, and process invoices for permitted events
  • Ensure permit compliance by conducting site visits of permitted events, including those that take place on the weekends or evenings
  • Work closely with the Associate Director of Event Coordination and Management on updating the permitting section of the Administrative Department’s biweekly report
  • Perform other duties as directed by the Director of Event Coordination and Management

  • Must be able to lift up to 15 pounds at times
