Job Overview
We are seeking a dedicated and organized Front Desk Manager to oversee the daily operations of our front desk team. This role is crucial in ensuring that our guests receive exceptional customer service and that all administrative tasks are handled efficiently. The ideal candidate will possess strong computer literacy skills, excellent phone etiquette, and a passion for providing outstanding service.
Core Responsibilities:
Sales & Marketing:
- Convert new leads into patients through excellent communication, both over the phone and in person.
- Manage leads and lost patient follow-up to ensure ongoing patient retention.
- Manage the clinic’s social media accounts (Instagram, Facebook, Google Business, YouTube, etc.).
- Edit and publish blogs that resonate with our audience and showcase the value of our services.
- Coordinate and plan local events, workshops, and clinics (attendance outside of regular hours may be required).
- Identify and build relationships with potential referral and marketing contacts.
- Manage email marketing campaigns using appropriate software.
Managerial & Administrative:
- Provide a welcoming, professional, and positive experience for patients at every touchpoint.
- Handle payment processing, check-in/check-out procedures, and ensure the smooth flow of patient visits.
- Schedule patient appointments and follow-up to ensure a seamless experience.
- Serve as the primary point of contact for patients—answering calls, emails, and texts promptly and professionally.
- Manage patient flow, from initial inquiry to final visit and beyond, ensuring patient satisfaction at each stage.
- Assist the company owner and physical therapists with various administrative tasks as needed.
- Maintain thorough knowledge of all clinic systems, ensuring their proper operation.
- Verify patient insurance benefits and assist with insurance-related inquiries.
- Track and report on key performance indicators (KPIs) to ensure business goals are being met.
- Maintain clinic cleanliness and ensure all equipment is well-kept and functional.
Measurable Outcomes:
- Achieve a conversion rate of approximately 70% from initial phone call to initial evaluation for new leads.
Requirements
- Proven experience in a front desk or administrative role; prior management experience is a plus.
- Strong computer literacy with proficiency in office software and ability to learn new systems quickly.
- Excellent customer service skills with a friendly demeanor and professional phone etiquette.
- Ability to multitask effectively while maintaining attention to detail in a fast-paced environment.
- Strong clerical skills, including typing accuracy and data entry proficiency.
- High school diploma or equivalent; additional qualifications in hospitality or management are preferred.
