We are seeking a Receptionist/Intake Specialist to join our team. We need someone dedicated to providing outstanding client service.
As the first point of contact, you will play a crucial role in providing excellent customer service and ensuring smooth operations at the front desk.
WHAT YOU’LL BE DOING:
- Conduct initial client intake interviews via phone or in person
- Collect and record potential client information, including personal details, case details, and relevant documentation
- Determine the nature of each case and assign it appropriately
- Stress the urgency and importance of dealing with legal issues right now
- Answer client questions regarding legal services, procedures, and fees
- Proficiently maintain accurate and up-to-date client databases and client relations systems
- Collaborate with attorneys and legal staff to ensure smooth workflow and effective communication
- Provide exceptional customer service and ensure client satisfaction throughout the intake process
- Provide exceptional customer service when dealing with client needs
- Adhere to confidentiality and data protection policies at all times
ABOUT YOU:
- Sales experience with a proven record of success: Minimum of 2 years’ experience - Required
- Previous experience in a legal intake or client services role: Minimum of 2 years’ experience - Required
- Clio software management system – Strongly Preferred
- Excellent communication and interpersonal skills with both clients and office staff
- Must be a team player – zero drama will be tolerated
- Strong attention to detail and ability to accurately and quickly record information
- Familiarity with legal terminology and processes
- Proficiency in using client relations software and other relevant tools
- Ability to handle a high volume of client inquiries and prioritize tasks effectively
- Strong organizational and time management skills
- Ability to maintain professionalism and composure in high-pressure situations
- Knowledge of data protection and confidentiality regulations
- Bilingual: A plus! Let us know if you are bilingual: English and Spanish.

Schedule:

- Hours: Monday – Friday, 8:00 a.m. – 5:00 p.m.; Lunch, 12:00 p.m. – 1:00 p.m.
