Key Responsibilities
- Schedule Coordination & Prioritization: Plan and manage complex calendars, ensuring priorities are addressed efficiently.
- Reporting & Presentation Preparation: Create reports, presentations, and materials for executive leadership, maintaining a high standard of professionalism.
- Travel & Accommodations: Organize travel itineraries, lodging, and related logistics for senior team members.
- Administrative Assistance & Efficiency: Support executives by handling various day-to-day tasks, ensuring maximum productivity.
- Meeting Preparation & Follow-up: Arrange leadership meetings, distribute agendas, document action items, and track tasks to completion.
- Process & Procedure Documentation: Identify areas for operational improvement; develop and implement streamlined processes.
- Cross-Departmental Communication: Facilitate effective communication between leadership, team members, and external partners as needed.
- Financial Responsibilities: Handle invoices, track expenses, process online payments, make bank runs, and assist with budget preparation.
- Primary Point of Contact: Serve as a go-to for general information, supporting both the executive team and external inquiries.
- HR & Benefits Support: Assist with benefits enrollment, annual documentation for 401k, and handle insurance policy oversight.
- Communication & Correspondence: Draft letters and communications for internal staff and external stakeholders.
- Property & Lease Management: Oversee management of leases and properties under Baxter’s umbrella.
- BI & AR Oversight: Provide support for BI reports and help manage accounts receivable for our tech division.
- Commission & Inventory Reconciliation: Calculate monthly commission reports and reconcile inventory across companies.
- Brightree ERP Audits: Audit workflows and voided orders to ensure compliance with SOPs, reporting findings to direct leadership.
- Occasional Travel: Willing to travel and oversee on-site projects and acquisitions, including overnight stays as needed.
- Other Duties: As assigned to support the success of leadership and the organization.
Qualifications
- Education: BAA preferred but not required.
- Experience: Minimum of 3 years in administrative roles or operational leadership.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Driving Record: Clean driving record required; must be 21 to meet auto insurance requirements.
- Insurance: Personal liability car insurance with a minimum limit of $100,000.
- Soft Skills: Outstanding communication (written & verbal), analytical, and problem-solving abilities.
- Flexibility: Willingness to adapt to a changing schedule and multiple priorities.
- Attention to Detail: Capable of juggling varied tasks and consistently following through.
- Customer Service Mindset: Courteous and helpful to both internal and external stakeholders.
- Positive Outlook: High level of passion and energy, fostering an encouraging environment.
- Background Check & Screening: Must be able to pass required checks and drug screenings.
Physical Requirements
- Able to lift or move up to 50 lbs.
- Comfortable stooping, bending, kneeling, sitting, or standing for extended periods.
- Regular use of hands for handling or feeling objects, and arms for reaching.
- Clear vision, including distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
- Must be able to drive an automobile safely with a clean record.
