Overall Summary

Under the direction of the Program Manager for Mobile Services, the Program Supervisor for Mobile Services  will provide strategic and hands-on support for the Mobile Services Program. As a lead in charge of coordination of services between mobile health and Bay Area Community Health (BACH) clinical sites, the Program Supervisor for Mobile Services will support a variety of tasks as required for the continued growth and sustainability of mobile programs. Under the leadership of the Program Manager for Mobile Services, the position will work closely with BACH’s Development Department and Outreach Health Departments to demonstrate a command of communications to coordinate relationships between community partners, program funders, internal and external stakeholders and BACH staff and management.

 

Essential Responsibilities

  • Creates and maintains conditions that ensure highest standards of practice across multiple disciplines.
  • Coordinates with the appropriate department heads to resolve issues pertaining to vehicles, equipment, materials, and daily operations.
  • Collaborates with Clinic Managers,  Outreach Manager, Development Managers, or other management within the organization to maintain high standards of care, customer service and personnel performance.
  • Manages practical aspects of mobile clinic functioning, including schedules and clinic flow, data collection, licensure, certification, facilities, supplies, and equipment.
  • Supports Program Manager for Mobile Services to perform analysis and planning for target services to patients/clients of mobile clinical sites.
  • Works with Program Manager for Mobile Services on new and continuing opportunities for increasing patient/client base and coordination of services between BACH clinical sites.
  • Administers and revises site-level policies and procedures.
  • Ensures that patient rights and responsibilities are upheld at all times.
  • In collaboration with Program Manager for Mobile Services, serves as a point of contact with partnering sites on all programmatic and service issues, including patient complaints and grievances.
  • Schedules and facilitates regular, effective staff meetings.
  • Attends on-site and off-site meetings as representative of Mobile Health Services clinics as assigned by the Program Manager for Mobile Services ‘
  • Coordinates staff scheduling, contributes to staff evaluations and provides training to new staff and current staff on BACH policies, procedures and protocols.
  • Discusses sensitive issues in a non-judgmental, culturally appropriate way with respect for all health choices.
  • Assists patients with information requests and provides resource materials.
  • Coordinates the inventory, ordering and supply stock maintenance of medical supplies, including physical inventory on all mobile clinics.
  • Conducts feasibility studies on new linked service (i.e. dental).
  • Develops written action plan to provide wrap-around services with the intent of creating a patient-centered medical home for mobile clinic services for patients/clients.
  • Documents all recommendations in regular reports to Program Manager for Mobile Services.
  • Maintains current information on mandated reporting, live scan, and TB.
  • Maintains grant requirements and collects necessary information required for reporting, by insuring daily utilization is captured.
  • Maintains Vaccines for Children (VFC) coordinator responsibilities including mobile management plan updates, staff training, and vaccine inventory.
  • Acts as liaison to key community stakeholders including school district administration, teachers and other staff. Works closely with school staff to ensure effective integration of health center services into the school.
  • Represents BACH services at coordination meetings within the school community, as assigned by the Program  Manager for Mobile Services.
  • Participates and or assigns staff to community outreach such as at health fairs, street outreach, and participates in other community-organized events. 
  • Ensures that federal, state and professional regulations and ethics related to service delivery, confidentiality, HIPAA policies, parent and youth rights are upheld at all times.
  • Demonstrates commitment to, and understanding of, BACH’s Behaviors for Success and GUEST (Customer Service Model), by modeling customer service excellence in all internal and external relationships and in the performance of all duties and responsibilities.
  • Stocks health education materials in mobile clinic.
  • Participates in the evaluation and improvement of mobile health clinic services.
  • Maintains tracking and referral mechanisms as requested.
  • Responds to community requests for information as needed.
  • Reports child/sexual abuse as mandated by the state of California.
  • Manages and trains direct reports – Reviews timecard requests including PTO, manages annual performance reviews, and other functions.
  • Work flexible hours, which includes evenings and weekends.
  • Work and travel to any of BACH locations, including clinics, mobiles, schools, event locations, or other locations as assigned.

 

Secondary Responsibilities

  • Ongoing mentoring of volunteers, as needed. 
  • Assist in preparation of reports, including progress reports.
  • Complete trainings required for the role.
  • Assist BACH management with mobile related projects, as assigned.
  • Attend workshops, training and meetings as needed, and as requested.
  • Perform other related duties as assigned.

 

 

Qualifications


QUALIFICATIONS

Education, Experience and Training:

  • High School Diploma required; College education preferred or equivalent work experience
  • Lead or supervisor experience preferred
  • Proficient in Microsoft Office products including Excel, Word and Outlook
  • Experience working in a fast paced environment
  • Experience working in an FQHC, community clinic or public health environment.
  • Possess strong organizational, problem solving, and interpersonal skills
  • Competent in the use and comprehension of basic medical/dental terminology
  • Medical Assistant, Registered Dental Assistant, Medical Administration, or equivalent certification preferred

 

Certifications/Licenses:

  • Current CA Driver’s License  - must pass driver’s pre-insurance background check

  • Reading and writing in order to review records for accuracy.

 

Work Conditions:

  • Travel to other sites and/or locations is required – Events may require a day or overnight trip to attend
  • Work indoor and outdoor in varying temperatures and work conditions
  • Prolonged periods of walking, standing or sitting
  • Manual dexterity used to include, but not limited to, standard office equipment, and computer keyboard.
  • Perform work in an indoor, outdoor and/or mobile clinic environment.
  • Work environment involves exposure to potentially dangerous materials and/or Bloodborne Pathogens and situations that require following extensive safety precautions, including the use of protective equipment.

  • Regular bending, stretching and lifting up to 25 pounds.
  • Driving and/or traveling to work and event sites.
  • Includes exposure to outside elements.
