Bay Cities Metal Products is seeking a proactive and organized Office Coordinator to join our team in Gardena, CA. This vital role will assist in special projects, provide support to the executive and leadership teams, and ensure smooth day-to-day operations. The ideal candidate will demonstrate exceptional multitasking abilities, attention to detail, and excellent communication skills.

Essential Duties and Responsibilities :

  • Team Support : Assist the executive and leadership teams with calendar management, meeting coordination, and other administrative tasks to ensure smooth day-to-day operations.
  • Meeting and Event Coordination : Help organize meetings and events, including scheduling, taking notes, meeting minutes for board meetings, and ensuring all necessary materials are prepared. Assist with planning company events such as parties, offsite meetings, and trade shows.
  • Multi Location Coordination and Executive Support : Act as a primary liaison between multiple company locations and executives in different offices, ensuring seamless communication, coordination, and support across sites.
  • Project Management : Manage and oversee projects, facilitating collaboration between teams and executives, and ensuring that all projects are completed on time and in alignment with company goals.
  • Front Office Responsibilities : Greet visitors and manage incoming calls, mail, and deliveries. Ensure a welcoming and professional environment at all times.
  • Travel Arrangements : Coordinate travel, hotel accommodations, and car rentals for team members as needed, ensuring smooth and organized travel plans.
  • Office Supplies Management : Keep track of office inventory, such as snacks, toiletries, and general supplies, ensuring items are restocked as needed.
  • Vendor and Contractor Liaison : Contact and coordinate with service providers and contractors for office repairs and maintenance, ensuring timely completion of tasks.
  • General Administrative Support : Assist with various projects and tasks as needed, providing flexible support to ensure the efficient functioning of the office.

Requirements :

Education and Experience :

  • High school diploma / GED required
  • College Degree Preferred
  • At least 2 years of prior experience as a personal assistant, office manager, administrative assistant, or executive assistant preferred
  • Skills and Competencies :

  • Go-getter attitude with the ability to anticipate team needs.
  • Proficient in Microsoft Office, Teams, Zoom, e-signature tools; knowledge of NetSuite is a plus.
  • Excellent communication skills, both verbal and written.
  • Strong organizational skills with a focus on thoroughness and meeting deadlines.
  • Discretion in handling sensitive information, particularly in taking board minutes.
  • Ability to work collaboratively in a team and independently.
  • Comfortable interacting with both onsite and remote team members.
  • Ability to multitask and prioritize effectively to manage multiple tasks and projects simultaneously.
  • Work Environment :

    This position primarily operates in an office setting with occasional visits to the shop floor. The candidate must be comfortable in both environments and comply with all safety protocols, especially when working in or near the metal shop.

    Physical Demands :

    The role requires the ability to handle various physical demands, including :

  • Sitting for extended periods, with occasional standing and walking.
  • Occasionally lifting and carrying items weighing 25-30 pounds.
  • Climbing stairs or ladders and using office equipment with manual dexterity.
  • Reaching for items in both office and shop environments.
  • Exposure to varying temperatures and noise levels in the metal shop, with the need for personal protective equipment (PPE).
  • Adequate vision and hearing for communication and monitoring activities.
  • Adherence to safety protocols and ergonomic practices to prevent strain from repetitive tasks such as typing and data entry.
  • Compensation :

    This position is non-exempt and complies with California's wage and hour laws. Compensation for this role ranges from $25 to $28 to per hour, depending on experience and qualifications.
