JOB TITLE: PAYROLL SPECIALIST - PART TIME - 29 HOURS
REPORTS TO: HUMAN RESOURCES DIRECTOR
JOB SUMMARY:
Under the general direction of the Human Resources Director, performs a variety of duties relating to payroll processing, benefit administration, and personnel record-keeping.
PRIMARY DUTIES AND RESPONSIBILITIES:
- Processes the Facility’s bi-weekly payroll into the automated payroll system and audits information for accuracy.
- Maintains computerized personnel information database, verifies some new employee information and changes to existing records.
- Maintains payroll deductions for employees, and processes related payroll deduction authorizations, reports, and payments issued to third parties.
- Consults weekly updates importing employee timecards into the automated payroll system.
- Maintains various departmental records and reports, collects data for administrative and regulatory purposes. Does biweekly, monthly and annual reports for Departmental heads, Bay County Retirement system and Union.
- Responds to employee inquiries on wages, paychecks, payroll policies and procedures and contract provisions regarding payroll, benefits and personnel issues.
- Corresponds with all levels of administration in the Facility regarding payroll and contract administration as it relates to payroll processing.
- Demonstrates thorough knowledge of pay rules, earnings codes, and deductions based on Facility policies and Union contracts.
- Audits data entered by Human Resources for accuracy. For example; timecards, new hires, raises and status changes.
- Consults with Human Resources and department supervisors timecard hours summary for accuracy; correct coding, approved timecards as necessary.
- Contacts and coordinates with Payroll support system and Human Resources to request system updates and changes based on contract language or other requests, as it relates to payroll. As well as, other issues for support and assistance of payroll related issue(s).
- Calculates and coordinates with Human Resources pay scale increases based on Union contracts and annual Administrative rates.
- Verifies and balances W2 totals processed by automated payroll system.
- Demonstrates the ability to handle multiple assignments, balance priorities, and make decisions quickly.
- Provides back-up support to clerical positions within the Business Office.
- Is knowledgeable of Resident Rights and ensures resident privacy and dignity and helps ensure a safe, secure environment for all residents.
- Completes annual In-Service training requirements, maintains acceptable attendance, and dresses in accordance with Dress Code Policy.
- Responsible for appropriate use of Facility supplies and equipment to minimize loss, waste and fraud.
- Maintains confidentiality of all data, including resident, employee and Facility information.
- Demonstrates thorough knowledge of the Facility’s history, mission, services and organizational structure.
- Performs other duties as assigned.
JOB QUALIFICATIONS:
- The job requires knowledge normally acquired though the completion of high school.
- Two to four years of experience in a payroll or personnel management role is required with experience with ADP and/or Paycom preferred.
- Valid, unrestricted drivers license
- Computer skills necessary to effectively utilize Microsoft Office software applications.
- Proficient in typing skills necessary for the creation and compilation of various documents, communications, and reports.
- Proficient in mathematical calculations with speed and accuracy.
- Interpersonal skills necessary to effectively communicate with all levels of the staff, residents and outside service providers in situations requiring tact and patience.
- Mental ability to handle pressures related to dealing with the concerns of employees, meeting deadlines, working on tasks requiring concentration and attention to detail, and fatigue from data input for prolonged periods of time.
- Physical ability to regularly sit in one position for extended periods of time.
WORKING CONDITIONS:
- Work is in a normal office environment, with time spent occasionally in a resident care environment with minimal exposure to communicable diseases when using universal precaution methods.
- Extended work day (beyond 8 hours/day) may be occasionally required.

$20 TO START
$1 INCREASE AFTER 6 MONTHS
$1 AFTER 1 YEAR
