We encourage all qualified individuals, particularly those from historically marginalized groups, to apply.   Job Summary:  The Operations Assistant provides a range of operational and administrative support to the Nurse Manager and is responsible for organizing, coordinating, and monitoring all non-clinical operations of the CCA Community Respite. The Operations Assistant will provide  administrative assistance including triaging calls, assisting persons served, their families and collateral service providers to get answers to questions; and providing direct support to team staff. The Operations Assistant also serves as the primary liaison for incoming referrals on the admissions team.  The Operations Assistant contributes to the Bay Cove mission by performing their duties in a manner consistent with recovery principles. This is a non-exempt position. This position reports to the Nurse Manager. Essential Functions of the Position:  Provide a range of administrative support to the program including answering the phone, setting up files, ordering supplies and equipment, securing taxi vouchers, compiling bills, preparing check requests etc Collects and organizes data needed for program evaluation and improvement Prepare graphs, infographics and other data visualization tools to display program KPIs. Assists in maintaining that staff trainings and other program requirements are up to date to maintain licensure Assists leadership in responding to call outs and in finding coverage for open shifts Helps to monitor and maintain files and records in accordance with agency and program standards Assist with proper vetting of referral prospects before they are presented to the admissions team Utilize recovery-oriented language and principles in all communication and interactions with Persons, colleagues, and collaterals. Perform other duties as assigned by supervisor Job Requirements:  Bachelor’s Degree is preferred, preferably in Psychology, Social Work, or a related area A High School diploma or GED is required Experience working in programs providing services to individuals who have mental health and/or substance use challenges is strongly preferred Knowledge of accounting procedures, medical records management, HIPPA and personnel policies and procedures  Professional written and oral communications skills High degree of personal organization, attention to detail, and time management skills Proficiency in word processing and other computer functions using Windows, Word, Excel and Google Applications Ability to climb stairs and carry up to 40 pounds, as well as the physical capacity to assist people with mobility impairments as needed Bilingual candidates encouraged to apply, pay differential offered for candidates with fluency in certain essential languages Bay Cove Human Services does not offer visa sponsorships at this time and will require candidates to be authorized to work in the United States.
