Job Summary :
The ACCS Community Mental Health Services carries out administrative functions to support the efforts of the ACCS Leadership Team in order to ensure effective, efficient, and high quality service provision. The ACCS Community Mental Health Services supports Bay Cove's Mission by managing the day to day details which contribute to the effective functioning of ACCS staff as they go about partnering with Persons to pursue their individual goals.
This is a non-exempt position.
Supervisory Responsibilities :
ACCS Administrative Coordinators
Essential Functions of the Position :
- Perform administrative duties including dictation and transcription, drafting of memos and correspondence, typing, and filing in a timely manner.
- Manage multiple calendars including travel, meetings, and conference room reservations.
- Prepare meeting agendas, provide reminders, gather updates in preparation for meetings, take accurate meeting minutes, and distribute meeting minutes to appropriate parties
- Collect, synthesize, and prepare data from Integrated Teams for DMH reporting purposes.
- Keep office supplies in stock and anticipate needs by ordering supplies in a timely manner.
- Arrange for the printing, duplicating, collation, faxing, and distribution of various materials, including minutes, reports, special mailings, etc.
- Screen telephone calls and respond appropriately to needs of callers based on knowledge of the situation and discretionary judgment and keep ACCS Leadership informed as appropriate.
- Work with ACCS and MHCS Leadership to support events, gatherings, and prepare for seasonal activities.
- Support the overall administrative needs of the department by working on special projects as assigned.
- Provide individual supervision to the Administrative Coordinators.
- Lead the monthly Administrative Coordinator meeting.
- Facilitate periodic check-ins with the ITDs and their respective Administrative Coordinator.
- Assist with organization and coordination of the graduate internship program.
- Utilize recovery-oriented language and principles in all communication and interactions with Persons, colleagues, and collaterals.
- Perform other duties as assigned by ACCS Leadership.
