Essential Functions
- Greet and welcome guests as they arrive at the office
- Answer, screen, and forward phone calls to the appropriate party.
- Process daily outgoing priority shipping via couriers
- Maintain office security by following security and safety procedures, keeping accurate and thorough visitor log, and controlling access via the reception desk (visitor logbook, visitor badges, check in/check out protocols, etc.)
- Collect detailed information from guests to ensure they are properly recorded in visitor logs and directs them to the appropriate location or person for next steps.
- Update and maintain receptionist desk procedures and suggest improvements to improve the security, efficiency, and effectiveness of the position.
- Ensure the reception area and meeting rooms are tidy and presentable.
- Provide basic and accurate information in-person and via phone/email.
- Receive, sort, distribute and log all mail and courier deliveries.
- Order mail supplies and keep inventory of stock.
- Maintain calendar for conference rooms and schedule meetings as needed.
- Perform other clerical receptionist duties such as filing, photocopying, faxing, and returning phone calls.
- Perform other duties as requested, directed, or assigned.
- High school diploma or equivalent
- Bilingual and fully fluent in English and Spanish strongly preferred
- Proficient in MS Office Suite including Word, Excel, and MS Teams
- Experience with office equipment: phone and voicemail systems, computers and standard office equipment
- Experience with shipping
