General Summary:
The Medical Staff Services Assistant is an essential part of the Medical Staff Services department that coordinates medical staff functions to ensure proper management and operations of the Medical Staff Office including Credentialing.
Responsibilities:
1. Assist with Initial Credentialing related duties. - Respond to request for application. - Review applications, collect supplemental documents and prepare them to be processed. - Respond to practitioners regarding preliminary review. - Assist Credentialing Specialist with processing applications.
2. Assist with Re-Credentialing related duties. - Processes reappointment applications: • Send out affiliation verification and claims history requests. • Run activity reports. • Obtain Peer Review and Patient Safety Reports • Verify current licenses, and board certification. • Review completed applications with department chairs. • Submit completed reappointment applications to Credentials Committee.
3. Responsible for coordinating monthly Medical Executive Committee (MEC) meetings. - Prepares MEC packets.
4. Provide clerical support for all Medical Staff departments and committees. - Prepare meeting agendas. - Distribute meeting notices. - Prepare meeting minutes. - Assists with electronic voting.
5. Responsible for coordinating quarterly Full Staff meetings. - Prepares meeting agenda - Includes preparing the Treasurer’s Reports for Quarterly Full Staff meetings. - Writes meeting minutes post meeting.
6. Prepare and distribute yearly medical staff meeting calendars. - Reserves meeting rooms and other services - Compiles information into document to be distributed.
7. Prepare monthly, quarterly, and other miscellaneous reports.
8. Maintain the medical staff checking account and manages bills and payments for the medical staff.
9. Annual medical staff dues. - Submit invoices to credentialed physicians - Collect Staff Dues
10. Process hospital/managed care verification requests.
11. Perform monthly audit of expiring dates for the following: • Other state medical licenses • Malpractice insurance • Federal DEA certificates • Board Certification • Other certifications, as necessary
12. Every two years primary source verify Delaware Medical licenses and Delaware Controlled Substance certificates for all credentialed practitioners.
13. Assist the Presidents of the Medical Staff and Super MEC President with annual committee member assignments.
14. Collect and enter monthly unassigned on-call schedules. Make call changes as necessary.
15. Process and verify unassigned call time sheets
16. Facilitates OPPE, FPPE and Training plans. - OPPE reports: • Scan bi-annual OPPE reports and uploads them to MD-Staff. • Prepares and obtains signatures on letter to go with OPPE reports. • Prints bi-annual OPPE reports and mails them to practitioners. - FPPE plans: • Follows up with practitioners on outstanding FPPE plans. • Process completed plans by reviewing with department chair and Credentials Chair - Training plans: • Follows up with practitioners on outstanding Training Plans. • Process completed plans by reviewing with department chair, supervising physician (if applicable) and Credentials Chair
17. Assist with the maintenance of data in MD-Staff and credential files.
18. Maintains a current knowledge of the Medical Staff Bylaws and Rules and Regulations.
19. Assists members of the Medical Staff as necessary/needed.
20. All other duties as assigned within the scope and range of job responsibilities
