General Summary:
This position serves as the access point of contact for referring physicians and families seeking care within the Oncology Service Line. Position is responsible for receiving all incoming phone calls, Epic work queue requests, and web requests from referral sources for new patients to the Oncology Service Line Practices. The scope of responsibility begins with initial inquiry and extends through the consult. The Access Specialist is charged with the procurement of all clinical records necessary for their initial consult, including pathology slides, radiology images, and ensuring the scheduled attending provider has access to these materials. The Access Specialist will contribute to the overall patient satisfaction by delivering exceptional customer service to referring providers, patients, and families.
Responsibilities:
1. Coordinates entire outpatient consult new patient process for the Service Line. 2. Schedule appointments, following procedures and protocols. Assist patients with referral needs in obtaining additional appointments with specialists, and insurance approval authorization for additional visits. 3. Provides a front-line cursory assessment of patient special needs, such as communication, and notifies the relevant team members of anticipated needs. Schedules interpretation services for consult. 4. Timely and precise completion of each registration, following all department processes and procedures. Must verify that all demographic and insurance information is up-to-date and correct. Obtain current copies of insurance cards. Advanced Beneficiary process must be completed successfully when appropriate based on pre-established guidelines. 5. Provides patients, families, and referring providers with appointment details and provides an understanding of what to expect during their visit. 6. Provides monthly reporting on access data and identification of referral trends to supervisor. 7. All other duties as assigned within the scope and range of job responsibilities
