What We Are Looking For
Baylor Law School is seeking an Events and Dean’s Suite Coordinator to take the lead on event planning for special events hosted by Baylor Law School and provide administrative support to the Dean’s Suite. This position requires confidentiality, a positive attitude, attention to detail, commitment to a quality work product, strong organizational skills, an ability to work independently and proactively, and an ability to learn and work collaboratively as part of a team.
A Bachelor's Degree and less than a year of experience are required. A Bachelor's Degree and 3 years of relevant experience are preferred. A combination of education and experience will be considered in lieu of one another. Event planning experience is preferred.
Applicants must be currently authorized to work in the United States on a full-time basis.
What You Will Do
- Foster a welcoming environment by greeting all Baylor Law School faculty, staff, students, and guests to the Dean’s Suite, answering the primary phone in a friendly manner, and promptly directing inquiries to the appropriate departments.
- Manage the day-to-day activities of the Dean’s Suite.
- Manage and coordinate the implementation of special events hosted by Baylor Law School.
- Serve as the initial contact for scheduling events and maintain relationships with vendors as needed.
- Lead and facilitate meetings to ensure a clear understanding of event needs.
- Provide recommendations to best meet the needs and expectations for special events.
- Coordinate physical setup and tear down of all special events.
- Assist with managing a calendar of Law School events and assist faculty, staff, and students with room reservations.
- Hire, manage, and train student workers for the Dean’s Suite.
- Prepare and submit expense reports for the deans and Dean’s Suite staff.
- Coordinate with custodial services and maintenance to maintain the Sheila & Walter Umphrey Law Center and manage follow-up system on pending work orders.
- Serve as the lead contact with security personnel and manage card-swipe access to the building.
- Assign student lockers and lead on locker maintenance.
- Sort and distribute mail, accept deliveries, and assist with law school mailing projects.
- Maintain inventory of office supplies and initiate maintenance of office equipment as needed.
- Provide administrative support to the deans as needed.
- Coordinate with and assist faculty office managers and other law school departments as needed.
- Provide support for law school events on occasion.
- Maintain knowledge of and comply with Baylor University policies and procedures.
- Perform other tasks and provide administrative support as assigned.
- Perform all other duties as assigned to support Baylor’s mission.
- Ability to comply with University policies.
- Maintain regular and punctual attendance.
