What We Are Looking For
Baylor University is seeking a Project Program and Asset Specialist to support the mission of the university by working closely with the construction project managers, space occupants, and various campus departments to ensure smooth and efficient moves and project documentation. The ideal candidate will have excellent organizational and communication skills, with the ability to manage multiple tasks and deadlines. This position reports to the Director of Facility Planning and Project Programming and provides coordinated support to the offices within the Facilities Management Department.
A Bachelor's degree and one year of relevant work experience are required. A Bachelor’s degree and three years of relevant work experience is preferred.
A combination of education and experience will be considered in lieu of the degree requirement.

What You Will Do
- Collaborates with the construction project managers to determine moving timelines and schedules
- Ensure all moving activities align with construction project milestones and space is clean and ready for occupancy by users
- Validates furniture and equipment within space
- Ensure items to be relocated into new space are identified and their new locations identified
- Takes measurements and inventory of items to be moved as appropriate
- Schedule movers and coordinate the logistics of the move including re-keying and communication with IT for activation of workstation data ports
- Assists campus stakeholder’s preparation of moving packets
- Improves and maintains standard operating procedures for relocation requests associated with facilities projects
- Manages and receives project requests from campus stakeholders
- Establishes initial contact with campus contacts and serves as primary point of contact during project initiation until hand-off with construction project manager
- Creates project file and logs project within departmental database
- Provides administrative file organization and record keeping support to the Office of Planning and Construction
- Monitors project progress and status
- Supports effort in providing communication updates to facilities management, facilities partners and project stakeholders

- Assists Director of Facility Planning and Project Programming in providing updates to campus-wide asset inventory including collecting previous years major maintenance and capital improvement spending for annual asset updates to database
- Receives and archives all close-out documentation for facility assets, including warranty and O&M manuals
- Provides necessary asset documentation to the CMMS system administrator for updates to the asset database
- Perform all other duties as assigned to support Baylor’s mission.
