What We Are Looking For
Baylor University is seeking a Program Associate, Baylor in Washington, D.C. within the Baylor In Washington, D.C. at the Center for Global Engagement by supporting the mission of and expanding student engagement in D.C. This position will support Baylor in Washington events, operations, and external relations in D.C. A successful Program Associate will be detail-oriented and able to see how executing operational tasks with excellence serves the larger mission of student and program success. Their Precision should be matched with a relational savvy and emotional intelligence, able and an ability to connect with a variety of stakeholders from student to alumni to high-profile speakers. They should be comfortable working on a small team with little supervision and confident in their task management ability.
A Bachelor’s Degree is required. Three years of relevant work experience is preferred.
Applicants must be currently authorized to work in the United States on a full-time basis.
What You Will Do
- Plan and execute professional development workshops, seminars, and site visits to partner organizations around Washington, D.C.
- Oversee student recruitment, admission, onboarding, and advising students throughout the internship search process
- Coordinate logistical elements of the program including event planning, student housing and transportation, speaker coordination, ongoing student communication
- Build and maintain relationships with students and external stakeholders at partner organizations
- Provide support in developing program plans, budgets and schedules
- Manage BIW systems, including CRM, email marketing software, website, Baylor supplier/vendor platform, Baylor marketplace, online application and registration platform
- Manage BIW social media presence, including LinkedIn and Instagram
- Manage financial processes, including vendor registration, payments, revenue and invoices, receipts/reimbursements, contracts
- Main PoC for building contacts/building space rentals, maintenance requests, furniture and supply purchases, etc.
- Lead event marketing efforts including graphic design, marketing strategy, email campaigns, direct outreach to audiences, coordination with partners and cosponsors
- Liaise with event speakers on travel, logistics, payments
- Manage financial and logistical aspects of events including event materials, event format and details, coordination with vendors, payments and expenses
- Coordinate with internal and external stakeholders to help connect students and alumni with D.C.-specific opportunities
- Manage engagement with students and alumni through email marketing, social media, and Baylor events in D.C.
- Maintain cooperative working relationships with parents, staff and other University personnel
- Perform all other duties as assigned to support the mission of Baylor University
- Comply with University policies
- Maintain regular and punctual attendance
