What are the responsibilities and job description for the Client Engagement Specialist position at Baystate Financial?
About Us:
We are a fast-growing financial consulting group serving high-net-worth individuals, law firm partners, executives, and business owners. Our firm combines the sophistication of institutional advisory with the personal service of a boutique firm. We provide tax filing and strategy (through our recently acquired tax firm), asset management, insurance implementation (life and P&C), retirement income planning, and advanced trust and estate planning.
As we continue to expand, we are seeking two highly motivated and client-savvy professionals to lead initial consultations with new prospective clients and filter for those who are ready for advanced financial planning engagements.
The Role:
As a Client Engagement Specialist, you will serve as the first point of contact for high-net-worth prospects—leading discovery meetings, building rapport, uncovering financial concerns, and evaluating whether our full-suite planning offering is a fit. Your job is not to close the business, but to lead with intelligence, empathy, and professionalism, and pass qualified prospects to a senior partner for final engagement and implementation.
This is an ideal role for someone who thrives in client-facing conversations and wants to be part of a dynamic, multi-disciplinary team without the pressure of full-cycle sales or product quotas.
Key Responsibilities:
- Conduct 18–25 first meetings weekly with prospective clients (scheduled by our internal phoning team)
- Guide high-net-worth individuals through structured discovery conversations
- Assess fit for comprehensive financial planning services
- Clearly communicate our firm’s value proposition, breadth of services, and planning-first philosophy
- Document key client facts, emotional triggers, and decision drivers in internal CRM
- Collaborate closely with our partner (John) to tee up second appointments
- Follow up with no-shows or reschedules in coordination with client service
- Continuously refine client messaging, discovery process, and meeting flow based on feedback
Qualifications:
- 10 years of client-facing experience in financial services, consulting, or a related industry
- Strong emotional intelligence and communication skills—both verbal and written
- Ability to confidently engage with high-net-worth individuals and business owners
- Comfort discussing a broad range of financial topics (tax, investments, insurance, estate planning)
- CFP®, CPA, or other relevant credentials a plus but not required
- Experience with CRM systems and a process-driven mindset
- Strong team orientation—you'll be a connector between marketing, planning, and leadership
Success in this Role Looks Like:
- You can create immediate trust and credibility in a 20–30-minute meeting
- You qualify interest accurately and efficiently
- You keep senior advisor calendars full of highly engaged second appointments
- You adapt quickly to feedback and are energized by a high-volume, high-impact role
Why Join Us:
- Work with an entrepreneurial, collaborative team focused on deep impact
- Be part of a modern financial planning model that integrates tax, investment, and estate work
- Grow with a firm that is scaling rapidly and values internal career mobility
- Access to in-house tax, insurance, and planning experts to support your development
