Job Summary
The Restoration file Auditor is responsible for overseeing the entire lifecycle of job files, from the initial lead conversion to active job status through to the completion of work and customer invoicing. This role requires close collaboration with the Production team to ensure the accuracy of work-in-progress boards, as well as auditing daily job file documentation. The Job File Coordinator also reviews job scope, estimates, and documentation to ensure program requirements are met and that all work is accurately invoiced.
Primary Responsibilities
- Monitor Job File Accuracy : Ensure that job files are accurately updated and documented daily.
- Daily Communication with Production : Regularly communicate with the Production teams to confirm all required documentation is captured during on-site tasks.
- Estimate Creation & Review : Generate and review estimates based on the scope of work and photos submitted by the Production team.
- Maintain Work-in-Progress Board : Keep an accurate and up-to-date Work-in-Progress board for all active leads and projects.
- Client Requirement Compliance : Ensure all client-specific requirements are met for every project.
- Stakeholder Communication : Maintain consistent communication with internal and external stakeholders, ensuring smooth information flow.
- Review Data for Accuracy : Check timestamps and other key performance metrics (KPMs) to ensure accurate reporting.
- Job File Documentation Review : Oversee the completion and review of job file documentation for final upload and audit process.
- Internal Audits : Conduct internal audits on all projects to verify that the estimate reflects all work completed.
- Job Close-Out : Facilitate the job close-out process, coordinating with the accounting team to ensure accurate invoicing.
- Cross-Department Assistance : Assist other departments as needed to ensure overall operational efficiency.
Education and Experience Requirements
Physical and Work Environment Requirements
This is primarily a sedentary role in an office environment, with occasional filing duties. Some physical activities, such as lifting files, opening filing cabinets, or using a step stool, may be necessary.
Working Hours and Travel Requirements
This is a full-time position, typically working between 7 : 00 a.m. and 5 : 00 p.m., Monday through Friday. Flexibility in hours may be required based on business needs, and longer working hours may be necessary during peak periods.
