The Administrative Assistant will provide general office support across various departments, ensuring smooth day-to-day operations. This role involves handling a variety of tasks related to accounting, reception duties, customer service, and administrative support. The ideal candidate should be organized, detail-oriented, and able to manage multiple tasks efficiently.
Key Responsibilities:
Accounting Support:
- Reconcile statements and process payments as needed.
- Monitor and update financial records and accounts.
- Process invoices, expenses, and other financial documents.
- Assist with tracking and reporting of financial data.
- Maintain and update spreadsheets and accounting systems.
Receptionist Duties:
- Process incoming payments and mail.
- Open, scan, and distribute mail.
- Assist clients by processing payments in person or over the phone.
- Answer phone calls, respond to emails, and handle general inquiries.
General Administrative Support:
- Assist with creating and organizing client documentation.
- Provide administrative support for team members and special projects.
- Maintain organized files and records.
- Perform general office duties, including filing, faxing, and document management
Other Duties:
- Assist with special projects as requested.
- Provide coverage for other team members when needed.
General Requirements:
- Timely response to emails and phone calls. * Ability to multitask and prioritize effectively. * Property and Casualty Insurance knowledge is a plus * Strong organizational and communication skills. * Proficiency with office software (e.g., Microsoft Office, spreadsheets). * Attention to detail and ability to follow through on tasks.
