Essential Functions and Experiences
As a dental front desk staff member, you are the face of the dental office and play a crucial role in ensuring the smooth operation of the practice. Your responsibilities may include, but are not limited to:
- Welcoming patients as they arrive, creating a friendly and positive first impression.
- Managing the appointment book, scheduling and rescheduling patient appointments, and coordinating with the dental team to optimize the schedule.
- Answering incoming calls, addressing patient inquiries, and providing information about the practice's services and procedures.
- Collecting patient information, updating records, and ensuring all necessary forms are completed.
- Checking patient's' insurance eligibility, benefits, and coverage details to determine payment responsibilities.
- Accepting payments for services, processing insurance claims, and providing financial information to patients.
- Ensuring all patient information is accurately documented and securely stored.
- Obtaining and updating patients' medical histories and records as necessary.
- Communicating with dentists, dental assistants, and hygienists to ensure the smooth flow of patient care.
- Providing basic information about oral hygiene, dental procedures, and post-treatment care to patients.
- Addressing emails and messages from patients or other inquiries related to the dental practice.
- Ordering and restocking office and dental supplies as needed.
- Ensuring the waiting area is tidy, welcoming, and well-organized.
- Knowing the protocol for handling dental emergencies and directing patients to appropriate care when necessary.
- Contacting patients to remind them of upcoming appointments or follow-up visits.
- · Calmly addressing patient complaints or concerns and resolving issues when possible, or escalating to the appropriate person.
- Coordinating with insurance companies for pre-authorizations and clarifications on coverage.
- Implementing and managing systems to remind patients of their regular check-ups and follow-up appointments.
