Position:
Set hours with some flexibility, 30 hours/week
Health benefits are not offered at this time
Starting hourly rate is $16/hour
Qualifications
Comfortable answering phone calls, scheduling appointments, and responding to inquiries
Able to maintain an organized workspace and task list, accomplishing tasks in a timely manner
Able to organize and prioritize workload and triage new tasks
Able to use various software and online programs, including GSuite, email, scan and print
Experience with Quickbooks Online a plus, or an ability to learn how to use
Comfortable interacting with the providers and assisting them as needed
Comfortable working with patients of all ages and backgrounds
Comfortable interacting with other providers and facilities
Willing to be flexible with daily office flow
Strong written and verbal communication skills including adequate typing skills
Experience
Previous front office experience
Google Drive, Google Calendar, and Gmail
Quickbooks Online (not required)
Responsibilities of the front office position include, but are not limited to, the following:
Quickbooks bill input, invoicing, client billing and notices, and other bookkeeping-related tasks
Paper and electronic file management
Patient file management according to HIPAA compliant guidelines
Affiliate management
Inventory management and ordering
Making folders for patient visits
Managing other office paperwork
Scheduling client appointments and owner meetings
Answering client emails and/or directing questions to appropriate team members
Keeping a clean and stocked front office space and environment (includes dusting, toy cleaning and organizing, library organizing, and restocking business cards as needed)
Vacuuming the front office space, small offices, hallway, back room as needed, and on Fridays
Keeping the kitchen area tidy, counter wiped down and clean dishes put away
Team communication
Other administrative tasks assigned, not limited to this list
Attending the weekly staff meeting
Current time expectation for hours:
Front office presence is required during these hours with exceptions of holidays, closures, etc:
Monday 1:15pm – 6pm (4.75 hours)
Tuesday 8:15am – 5:45pm with a 30 minute lunch break (9 hours)
Wednesday 1:15pm – 5:15pm (4 hours)
Thursday 1:15pm – 6pm (4.75 hours)
Friday 8:00am – 3:00 pm with a 30 minute lunch break (6.5 hours)
Additional Notes About Hours
Required staff meeting on Zoom, approximately 1 hour long. Currently on Thursday morning
Flex hours during the three quarterly Admin Days
Position is without benefits: sick or vacation days, holidays, or office closures are days off with no pay
