Beach Cities Orthopedics is a busy integrated orthopedic clinic with three offices in Manhattan Beach, Torrance, and San Pedro. We are seeking Full Time Medical Records Clerk to work at our Torrance location, more information available during our interview process.
- Ability to complete full review of patient charts to ensure accuracy and completeness
- Appropriately and accurately pulls records for patient care, quality review, and audits in a timely manner
- Observe confidentiality and safeguards all patient related information
- Responsible for coordinating the release of medical information to employers, insurance companies, lawyers, state, and federal agencies
- Responsible for processing of subpoenas and court orders, at the direction of Management
- Ensure that all requests for records are logged in the tracking system
- Notify requester when records are available
- Maintain a good working relationship within the department and other departments
- Adhere to clinical requirements, policies, procedures, and standards
- Provide excellent customer service
- Filing of all records
- Requires interacting with patients explaining and answering questions/queries, provide appropriate paperwork and instructions to complete the check-out process
- Requires operating and proper use of office equipment and software to perform various functions such as, faxing, copying, and scanning for completion and distribution of appropriate medical reports and records to various audiences
- Match insurance checks with billing software reports for electronic payment files.
- May require assisting other departments with administrative and clinical job functions; participates carrying out various day-to-day administrative tasks, including but not limited to, data entry, patient registration, obtaining authorizations, processing patient paperwork concerning patient treatments, mailing, and filing of various correspondence
- Requires documenting, maintaining information, and transcribing information in written or electronic formats.
- Requires answering both internal and external phone calls effectively
- Work effectively insuring compliance with all state and federal regulations; including but not limited to, compliance pertaining to professional certification, patient confidentiality pursuant to HIPAA, treatment, and safety guidelines
- Perform other duties as assigned
Qualifications
- Demonstrates excellent oral and written communication skills, demonstrating the ability to communicate information effectively for the needs of the audience
- Demonstrates knowledge of the structure and content of the English language including the meaning and spelling of words, and grammar
- Demonstrates knowledge of principles and processes for providing customer and personal service; this includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction
- Demonstrates excellent time management skills; demonstrating the ability to manage one's time and develop specific goals and plans to prioritize, organize and accomplish the work efficiently
- Demonstrates excellent multitasks skills; demonstrating the ability to multitask between two or more activities and efficiently complete duties and responsibilities
- Demonstrates knowledge of administrative and operational procedures, using computers and computer systems, managing files and records, transcription, and other office procedures and terminology
- Demonstrates problem solving skills; the ability to classify, prioritize and seek guidance to resolve problems timely and effectively
- Demonstrates excellent interpersonal skills; display a high degree of honesty and integrity, team participation, maintains a high-quality teamwork, and cooperative working relationships with patients, clients, physicians, and colleagues
- Demonstrates knowledge of basic four function math, medical terminology, and systems such as Word and Excel

Education/Experience
- High school diploma or equivalent
- 1- 2 years of work experience in a clinical setting/office or similar related field preferred
- Medical Terminology preferred
- Bilingual in English/Spanish preferred

Pay: $17.00 - $19.00 per hour
