Position Overview
The Pediatric Office Coordinator is responsible for overseeing the daily administrative operations of a pediatric medical office. This role ensures smooth office workflow, provides exceptional patient service, supports healthcare providers, and maintains compliance with healthcare regulations.
Key Responsibilities
Administrative & Office Management
- Oversee daily office functions to ensure efficiency and high-quality patient care.
- Manage patient scheduling, check-in/check-out, and appointment confirmations.
- Ensure compliance with HIPAA and other healthcare regulations.
- Coordinate office supplies, equipment maintenance, and inventory.
- Assist with audits, quality improvement initiatives, and reporting.
Patient & Family Interaction
- Serve as the primary point of contact for patient inquiries and concerns
- Ensure a welcoming and professional environment for patients and families.
- Provide information on office policies, insurance coverage, and available services.
- Assist with referrals, authorizations, and coordination of care.
Billing & Insurance Coordination
- Verify insurance eligibility and benefits before appointments.
- Assist with medical billing, coding, and claim submission.
- Process prior authorizations and follow up on outstanding claims.
- Handle patient billing inquiries and payment processing.
Team Coordination & Leadership
- Support pediatricians, nurses, and administrative staff to ensure seamless operations.
- Train and supervise front desk and administrative team members.
- Implement office policies, workflows, and efficiency improvements.
- Serve as a liaison between clinical staff and administrative personnel.
Qualifications & Skills
- Education: High school diploma required; Associate’s or Bachelor’s in healthcare administration or related field preferred.
- Experience: 2 years in a medical office, preferably in pediatrics.
- Technical Skills:
- Proficiency in electronic medical records (EMR) systems, Athena preferred.
- Knowledge of medical terminology, insurance billing, and coding (CPT/ICD-10).
- Strong computer skills, including Microsoft Office.
- Soft Skills:
- Excellent communication and customer service skills.
- Ability to multitask and work in a fast-paced environment.
- Strong organizational and leadership abilities.
Work Environment & Schedule
- Work is performed in a pediatric medical office setting.
- Full-time position; may require occasional evenings M- F
- Combination of administrative desk work and patient interaction.
