Office Specialist III- Enrollment Specialist
Job Description
Under the supervision of school administration, this position is responsible for holding enrollment conferences with potential new students and their families to provide an overview of the programs offered, and project management for the academic department at Beacon Academy.
Terms of Employment: 12 month per Contract of Employment
Salary: The compensation for this position is in alignment with the BANV Governing Board approved Salary Schedule; Salary Schedule based on years’ experience and degree held. Compensation for all positions are determined by the Governing Board and Administration of Beacon Academy. Consideration is given for experience and specialized skills in determining salary.
Salary Range: $15.91 - $37.51

Essential Duties and Responsibilities:
This list of Essential Duties and Responsibilities is not exhaustive and may be supplemented.
- Facilitates the enrollment process for new students, including: scheduling and staffing consultations, preparing the enrollment forms, ensuring the Plan of Study, and Academic Schedules are prepared prior to the new student Academic Consultation.
- Facilitates the Academic Consultation by explaining each form, obtaining signatures, and answering questions about the school program.
- Demonstrates exceptional customer service skills and patiently answers questions and addresses concerns.
- Ensures academic consultation paperwork (FRL application, etc.) has been completed by student/guardian correctly prior to the family leaving the consultation.
- Obtains and relays information from families and when necessary, refers to appropriate administrative staff and accepts messages for staff.
- Enters new student information into the student information system: Infinite Campus accurately.
- Maintains accurate student records as required by law, corporation policy, and administrative regulations.
- Plans, organizes, and sets priorities on work and works independently.
- Interprets, explains, and applies written and oral instructions, procedures, and regulations.
- Assists with maintaining student academic cum folders by following up with students and/or staff to collect missing information (i.e. immunization records, homeschool documents, transcripts, special education files, 504 documentation, ELL documentation)
- Organizes and maintains records and files in accordance with established procedures.
- Implements new processes and procedures, as needed, and continually monitors the enrollment and admissions process to ensure it runs smoothly.
- Schedules students for orientation and MAP testing, following Academic Consultations.
- Calls new students 10-14 days after orientation to ensure that the student/guardian does not have follow-up questions.
- Contacts students who do not show up for orientation to reschedule.
- Supports Receptionist, Office Specialists, and IT Specialist as needed.
- Conforms to safety standards and drills as prescribed in BANV’s Emergency Operations Plan.
- Assist with the distribution of Chromebooks and properly document transactions.
- Maintain an inventory of technology equipment, test equipment, and mobile devices for classroom and office technology.
- Create and assist in distributing student identification.
- Assist with supervising student arrival, departure, and campus transitions.
Knowledge, Skills and Abilities:

- Proficiency and understanding of computer technology and ability to learn programs.
- Ability to judge when to act independently and when to refer situations to an administrator.

- Knowledge of secretarial practices, office machines, and record-keeping/accounting.
- Knowledge of BANV operations.
- Ability to promote public relations and to deal tactfully and diplomatically with people.
- Ability to plan, organize, and set priorities on work and to work independently.
- Ability to interpret, explain, and apply written and oral instructions, procedures, and regulations.
- Ability to keep information confidential and maintain an ethical attitude.
- Ability to maintain confidentiality of data and knowledge of FERPA requirements.
- Ability to perform editorial checking for spelling, punctuation, and grammar.
- Ability to work under pressure, meet short deadlines, and shift suddenly to new tasks when priorities change.
- Ability to develop letters and reports for conformance with given principles of style.
- Ability to concentrate on accuracy of details.
- Ability to prepare complex reports on own initiative or as directed.
Qualifications
Preferred Qualifications:
- Proficient in Microsoft Word, Excel, Infinite Campus, Google Docs, Gmail, and PowerPoint.
- Exceptional organizational skills, accuracy and attention to detail.
- Excellent telephone skills, accuracy, and attention to detail.
- Bilingual preferred.
Education, Training, and Experience:
- High School Diploma or other equivalent (i.e.; GED, college, technical, trade school transcript or foreign equivalency).
- Three (3) years of database management and customer service experience.
- No specific Certifications or Licenses required.

- Ability to operate, activate and use a computer and other office productivity machinery such as a calculator, copy machine and printer.
