PROPERTY MANAGER JOB DESCRIPTION
The Property Manager is the direct representative of Beacon Management Corporation, to the public and a critical for the success of the property. The Property Manager has authority to effectively use available resources, including on-site personnel, in order to operate the property effectively. All on-site employees report to the Property Manager. The Property Manager reports directly to the Regional & Compliance Managers.
Promoting strong resident relations is critical to successful property management. We offer first-class service to each and every resident. In fulfilling the job responsibilities, the Property Manager, must always keep in mind that we are here to meet the needs of our residents.
In general, the Property Manager has responsibility over three major areas for profitable operation of their community. These three areas are:
(1) – Residents are the lifeblood of an apartment operation and a Property Manager must have the ability to attract prospective residents to the community, show and lease vacancies, as well as collect the rents (or see that the staff can accomplish this).
(2) – A move-out may well cost more than the profit from one year of occupancy. Clean-up costs, repairs, refurbishing, advertising, and income loss all add up quickly. The second major area, therefore, is the continual commitment to present residents to reduce turnover. This means delivery of promised services – and immediate acknowledgment of complaints and requests, and follow-up with prompt action.
(3) – The major expenses that can be reduced are maintenance costs. The Property Manager must apply:
a. – Many appliance failures can be corrected with the very basic knowledge of reset buttons, plugs, and switches. Clear descriptions of repairs needed aid servicemen in bringing proper parts and completing the work at minimum cost.
b. – The Property Manager needs to give clear, written instructions for maintenance needs.
c. – The Property Manager controls what service is promised and when. Per Fair Housing regulations, application of this control will be uniform across all units and residents.
Duties and Responsibilities
1. Overall responsibility of the property including supervision of all on-site personnel: hiring, firing, scheduling, monitoring of performance and adequate training in consultation with regional and compliance managers.
2. Rental of apartments including approval or rejection of rental applications in accordance with the established Tenant Selection Policy.
3. Minimize apartment vacancies through advertising, leasing techniques, etc., as outlined by the Home Office.
4. All collections including, but not limited to, security deposits and monthly rentals, daily deposits, preparation and distribution of late notices and instigation of legal notices as necessary.
5. The keeping of all records including leases, security deposits, security deposit forms, cash receipt records, rent rolls, recaps and all other records as required.
6. Preparation of weekly and monthly reports.
7. The receipt and proper recording of all work orders (to be given to the maintenance men in writing for their proper disposition).
8. Preparation of all payroll information each pay period.
9. Act as company representative to promote and improve resident and community relations.
10. Ordering parts and supplies for the property in accordance with the procedures outlined by the Home Office.
11. Continually monitor the competition and market trends and perform rent studies and market surveys.
12. Assure that properties are adequately covered weekends, evenings, and holidays in accordance with published work schedules.
13. Ensure that the office is clean and in good order at all times.

14. Inspect property weekly and interact regularly with residents
15. Follow-up service requests on a random basis by visiting apartment to check the work completed and calling resident and notifying them of the work completed with explanation.
16. Control expenditure and income according to approved budget.
17. Prepare annual budget for submittal and approval.
18. Ensure that property procedures and records are in compliance with all local, state, and Federal laws and regulations, including the Landlord/Tenant Act, Fair Housing, LIHTC, HUD, and FmHA.
19. Report all job injuries the same working day to your Supervisor and complete/submit a First Report of Injury to the Home Office within 24 hours.
20. Any other duties as designated by the Home Office.
QUALIFICATIONS
5-7 years of successful property management, with strong skills in managing affordable communities; to include HUD and Low-Income Housing Tax Credit properties. Experience with OneSite (RealPage) software or comparable property management software.
Real Estate license if required by state law.
