Job Description:
1. Patient Reception:
- Greet patients warmly, creating a welcoming and comfortable atmosphere.
- Manage patient registration, verify insurance information, and assist with necessary paperwork.
2. Scheduling:
- Efficiently manage the appointment calendar to optimize scheduling.
- Coordinate with oral surgeons and clinical staff to minimize patient wait times.
3. Communication:
- Answer phone calls and respond to email inquiries promptly and professionally.
- Provide clear and accurate information regarding services, appointments, and office policies.
4. Patient Records Management:
- Maintain accurate and confidential patient records.
- Ensure all documentation is complete and readily accessible to the clinical team.
5. Insurance Coordination:
- Verify patient insurance coverage and benefits.
- Obtain pre-authorizations and pre-determinations as required.
- Educate patients on their insurance benefits and financial responsibilities.
6. Office Administration:
- Oversee administrative tasks, including ordering supplies, managing mail, and coordinating with vendors.
7. Treatment Coordination:
- Present case fees and financial options to encourage treatment acceptance.
- Review treatment plans and consent forms with patients.
- Determine insurance eligibility, limitations, and payment estimates.
- Schedule surgical appointments according to practice goals and blocks.
- Review consultation charges and input them into the system.
- Provide backup support for reception, patient care coordination, scheduling, finance, and management roles.
8. Billing and Reimbursement:
- Ensure accurate billing and reimbursement for services rendered.
- Communicate with patients and insurance companies to resolve coverage and payment issues.
- Maintain up-to-date records of insurance verifications and pre-authorization activities.
9. Team Collaboration:
- Work closely with the healthcare team to optimize patient care and financial outcomes.
Required Qualifications:
- Minimum of 3 years’ experience in a Front Office Administrator or similar role within a dental or healthcare setting.
- Strong multitasking abilities and attention to detail.
- Proven ability to work effectively under pressure and handle emergencies.
- High school diploma or equivalent.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- In-depth knowledge of dental and medical insurance.
- Excellent customer service and communication skills.
- Professional demeanor with strong phone etiquette.
- Proficiency in basic math and accounting.
- At least 2 years of experience in insurance verification and pre-authorization.
- Strong understanding of insurance plans and coverage requirements.
- Ability to work independently and collaboratively.
- Experience with electronic medical record systems.
Preferred Qualifications:
- Prior experience in a dental or healthcare setting.
- Familiarity with WIN/OMS software.
Schedule:
- Monday to Friday, 8-hour shift
