JOB SUMMARY
Assumes the responsibility for the coordination of effective, efficient surgery scheduling processes with all physician offices and patient insurance verifications; ensures all business office functions related to scheduling and insurance are complete; communicates schedules with appropriate team members; communicates financial information with patients and completes financial transactions as needed; ensures prior authorization process is complete. Demonstrates flexibility in view of interruptions and deals effectively with customers.
EDUCATION AND QUALIFICATIONS
- High School Diploma or equivalent
- 2 or more years’ experience in surgery scheduling and insurance verification, preferably in the Ambulatory Surgery Center setting.
- Knowledge and understanding of Medicare, Blue Cross, UHC and other Managed Care/Commercial insurances.
- Requires English language skills for constant high-level written and interpersonal communications.
- Requires strong organizational skills along with the ability to prioritize and multi-task.
PHYSICAL DEMANDS
- Requires extensive mobility: walking, standing, bending, stooping, kneeling, crouching, or crawling. Ability to sit for long periods of time. Pushing, pulling, and lifting of equipment and/or patients.
- Requires ability to speak and hear.
- Repetitive motion required for extensive use of computers.
- Good visual acuity.
- Ability to lift up to 50 pounds.
ENVIRONMENTAL EXPOSURE
- Works in well-lighted and ventilated climate-controlled environment with complicated equipment, some equipment with moving mechanical parts.
- May be exposed to patients who have communicable diseases. With proper techniques, this risk should be minimized.
- May have occasional exposure to bloodborne and airborne disease pathogens. With proper techniques, this risk should be minimized.
- May be exposed to toxic or caustic chemicals
- Quiet to moderate noise levels. Must be able to hear alarms on equipment, patient call-alarms, patient-calls, overhead pages and instructions from physicians or staff.

POSITION RESPONSIBILITIES
- Integrates the mission, vision, and values of Beacon West Surgery Center into daily interactions with the population served
- Manages all surgical scheduling calls and coordinates patient flow
- Schedules and collects accurate patient data on all surgeries and procedures
- Exhibits excellent customer service when working with physician, patients, family members, vendors, and peers
- In conjunction with the Business Office Manager, routinely visits physician offices and their schedulers in an effort to build relationships
- Notifies Director of Nursing and Materials Manager of any special requests by surgeon
- Enters all patient demographics/information into scheduling module
- Prints and distributes daily surgery schedule
- Verifies insurance coverage and benefits
- Assures that pre-certification/referrals are on file prior to surgery
- Contacts the patient pre-operatively with their co-payment and deductible amounts due at the time of service
- When applicable, inform patients of financial responsibilities not covered by their insurance.
- Keeps lines of communication open between the physicians’ offices and the facility
- Notifies appropriate persons when cancellations, changes in schedule or special requests occur
- Logs cancellations to determine trends
- Knowledge base of business office processes and policies to appropriately answer patient questions.
- Communicates patient information to assure confidentiality and continuity of care.
- Interacts with all patients, families, visitors, and fellow employees in a mature, responsible manner to ensure a positive professional environment.
- Extends courtesy and politeness to all customers, exercises tact and understanding.
- Uses appropriate phone etiquette and skill in transfers of incoming calls, takes accurate messages and pages overhead appropriately.
- Maintains accurate, up to date statistical information in the computer software system.
- Maintains a clean, organized, and welcoming lobby and work environment to ensure a professional appearance.
- Backup for all business office staff and functions as needed
- Contributes to team efforts by accomplishing related results.
- Performs other duties as may be appropriately required or assigned
