Beanstalk seeks a versatile Administrative Associate to provide a high-level of administrative support for the CEO and COO/CFO. The candidate should be detail oriented, trustworthy, highly organized, possess excellent written and verbal communication skills and demonstrate a high level of professionalism. You will be working within a fast-paced, collaborative environment with responsibility for supporting our executive leaders as well as ensuring that our administrative operation at the agency runs smoothly and efficiently.
Responsibilities include:
- Scheduling and managing the executives’ calendars, including making appointments, sending reminders and prioritizing the most time-sensitive matters
- Maintaining confidentiality with sensitive information and correspondence
- Liaise with high level clients and internal executives
- Making travel and accommodation arrangements
- Support the efforts to driving culture initiatives by planning and executing company-wide special events such as monthly gatherings, trainings, workshops and volunteer programs
- Support talent development activities, such as recruiting, internships and onboarding
- Managing and preparing internal presentations
- Assisting with office procedures and operations
- Preparing expense reports
Beanstalk is seeking candidates with 3-5 years’ experience in a similar administrative role.
Candidate must have:
- Meticulous dedication to detail and accuracy
- Excellent organizational skills
- The ability to multi-task and prioritize appropriately
- Excellent Microsoft Office skills, including Excel and Power Point
- Excellent verbal and written communication skills, including grammar and spelling
