What are the responsibilities and job description for the Project Coordinator position at BEAR Construction?
A Project Coordinator (PC) is responsible for supporting the project management team through different facets of the construction process. Daily duties can/will include preparing submittals and submittal logs, preparing meeting minutes, managing construction logs and change orders, and working with internal teams for accounting and compliance. This role requires frequent communication with subcontractors, including making a high volume of calls to gather project updates, confirm scheduling, and ensure compliance with project requirements. As a Project Coordinator, you will be expected to learn and use company software programs. A PC is expected to have a working knowledge of estimates, schedules, and material orders. This position will report to the VP of Construction and work with the Project Team on projects for which they are assisting.
Responsibilities:
- Working directly with the project management team, office staff, and jobsite staff to award projects and manage company procedures while maintaining accuracy and efficiency
- Make a high volume of calls to subcontractors to coordinate schedules, confirm participation, follow up on required documentation, and address any project-related inquiries.
- Work directly with the project management and internal support teams to collect and distribute start-up documents for new projects including all required billing documents, including the coordination of setting up insurance for each job, and tracking compliance.
- File system management by keeping all office documents filed (paper/electronically), organized and maintained.
- Coordinate construction scheduling and communication and act as liaison to project management
- May be responsible for estimates, schedules, and material orders
- Manage various construction logs including RFI, Change Order, Submittal, and others
- Ability to collaborate with vendors and contractors to coordinate document management

- Knowledge of Microsoft Office suite

- Construction experience a plus
- Technical knowledge of construction a plus
- Preferable to be familiar with general construction terms and administration processes, as well as basic accounting principles. Ability to multi-task and prioritize activities on a real-time basis
