PRIMARY PURPOSE:
The Administrative Assistant to the Executive Director of Human Resources provides high-level administrative support to ensure the efficient operation of the Human Resources (HR) department. This role involves handling sensitive information, coordinating schedules, preparing reports, assisting with HR processes, and serving as a liaison between the Executive Director and internal/external stakeholders.
QUALIFICATIONS:
Education/Certification:
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and HR software systems.
- Strong attention to detail and ability to maintain confidentiality.
- Ability to work independently and as part of a team in a fast-paced environment.
- Knowledge of HR best practices, labor laws, and school district policies (preferred)
Special Knowledge/Skills:
- Uphold professionalism, discretion, and confidentiality in handling sensitive HR matters.
- Provide support for district-wide HR initiatives, workshops, and professional development activities.
- Perform additional tasks as assigned by the Executive Director of HR
Experience:
- High school diploma or equivalent (required); Associate’s or Bachelor’s degree in business administration or related field (preferred).
- Experience in administrative support, preferably in human resources or an educational setting.
MAJOR RESPONSIBILITIES AND DUTIES:
Key Responsibilities:
Administrative Support:
- Manage and maintain the Executive Director’s schedule, including appointments, meetings, and travel arrangements.
- Prepare correspondence, memos, reports, presentations, and other documentation as needed.
- Organize and maintain digital and physical files, ensuring confidentiality and compliance with district policies.
- Coordinate and prepare materials for meetings, take minutes, and distribute information as required.
- Serve as a point of contact for internal and external communications, screening calls and inquiries.
Human Resources Support:
- Assist with the coordination of HR initiatives, projects, and events.
- Support recruitment efforts by scheduling interviews, processing employment documents, and maintaining applicant records.
- Help manage employee records, including onboarding, certification tracking, and performance evaluation documentation.
- Ensure compliance with district policies, state laws, and federal regulations regarding HR processes.
- Respond to employee inquiries regarding benefits, policies, and procedures or direct them to the appropriate HR personnel.
Operational & Financial Tasks:
- Process purchase orders, invoices, and budget tracking related to the HR department.
- Maintain inventory and order office supplies as needed.
- Assist with payroll-related documentation and employee timekeeping records.
Other Duties:
- Uphold professionalism, discretion, and confidentiality in handling sensitive HR matters.
- Provide support for district-wide HR initiatives, workshops, and professional development activities.
- Perform additional tasks as assigned by the Executive Director of HR.
