Job Summary:As a receptionist at Beck College PRep, you will be the face and voice of our organization, responsible for providing exceptional customer service to all visitors, clients, and employees. Your role will involve managing the front desk, handling incoming calls, greeting guests, and performing various administrative tasks to ensure the smooth operation of our office.

Key Responsibilities:

Front Desk Management:Welcome and greet visitors and clients in a professional and friendly manner.
Answer and direct incoming phone calls to the appropriate departments or individuals.
Maintain a clean and organized front desk area.

Visitor Assistance:Sign in and register visitors, ensuring they are aware of relevant safety and security protocols.
Notify employees of visitor arrivals.
Provide information and assistance to guests, including directions within the building.

Administrative Support:Assist with various administrative tasks, such as data entry, photocopying, faxing, and filing.
Sort and distribute incoming mail and packages.
Manage and maintain office supplies and inventory.

Appointment Scheduling:Schedule appointments and meetings for employees and clients.
Ensure meeting rooms are prepared and ready for use.

Security and Safety:Monitor and enforce security procedures, such as badge access and visitor logbooks.
Act as the point of contact during emergencies and follow established protocols.

Communication:Relay messages and information accurately to the appropriate recipients.
Handle inquiries and provide basic information about the company's products, services, and policies.

Technology Proficiency:Proficiently use office equipment, including computers, printers, and phone systems.
Learn and use relevant software and applications for administrative tasks.

Qualifications:

  • High school diploma or equivalent.
  • Previous experience in a receptionist or customer service role is preferred but not always required.

Working Conditions:
