Becknell Industrial, a leading national developer and operator of industrial real estate, is seeking a high impact individual with exceptional organizational and administrative skills to support our Indianapolis office as an Administrative Assistant. The successful candidate will facilitate a wide variety of administrative tasks that are critical to the success of Becknell Industrial’s growing business. This position requires exceptional organizational skills and extraordinary judgment.
Primary Responsibilities:
• Provide exceptional administrative support for the various Indianapolis office departments, including keeping a running list of priorities and execute with speed and efficiency.
• Provide general administrative support – receptionist, photocopying, calendaring, mail, overnight packages.
• Manage office and supplies, including maintaining conference rooms and associate lounge.
• Scheduling and calendar management of members of the team as needed. This requires coordinating schedules and preparing for meetings and conference calls by having all related documentation and logistics in place.
• Arrange and coordinate travel schedules and logistics.
• Coordinate and arrange on- and off-site meetings, including selecting the venue, contract negotiation, planning for food and beverage needs and preparation of materials including agendas.
• Serve on the Indianapolis Employee Engagement Committee and assist with event logistics.
• Coordinate with HR and IT for new associates.
• Prepare, review and submit expense reports.
• Maintain trade association memberships, licenses and subscriptions.
A successful candidate will have the following skill set:
• A working knowledge of all Microsoft Office applications (Word, Excel, and Outlook)
• A high degree of professionalism and strong work ethic coupled with a sense of responsibility and integrity.
• Strong knowledge and experience in booking travel – flights, hotels, etc.
• Discretion required in handling highly sensitive information in a confidential manner.
• Ability to handle multiple tasks: excellent time management and organizational skills.
• Strong work ethic, initiative and good judgment
• Excellent interpersonal and communication skills, both verbal and written
• High level of motivation and enthusiasm
• Problem solving and solid attention to detail.
• Ability to work independently, work under tight time constraints and be able to prioritize work.
