Job Summary:
Serves as the front office contact person and Receptionist; assists with clerical and business needs of Facility; responsible for answering phone and greeting visitors; must communicate courteously and respectfully with Residents, families, Employees and others
Requirements / Qualifications:
High School diploma or equivalency; prefer previous experience in secretarial position; must have excellent telephone etiquette, verbal communication skills; must be able to multi-task with minimal supervision; must have basic computer skills in Microsoft Office; must pass drug screens and have a satisfactory Criminal History Background Check
Duties and Responsibilities:
- Answers the telephone courteously; routes phone calls and forwards messages
- Acknowledges and greets visitors, Residents and others in a professional, friendly, courteous manner
- Receives and distributes mail and processes outgoing mail; visits the Post Office if requested
- Assists with managing the office supplies inventory; assists with ordering as directed by the Administrator
- Receives deliveries and places supplies in stock in appropriate places when received
- Uses computer for letters, memos, correspondence, spreadsheets and other documents as needed and requested
- Assists with making and/or serving coffee to guests and keeps work area tidy
- Runs Company-related errands as requested and needed by the Administrator
- Maintains strict confidentiality of Personnel matters and other proprietary information
- Updates and maintains a current census of Residents
- Performs filing and a variety of clerical duties
- Delivers messages and/or delivers packages, mail and flowers to Residents as needed
