(In-Person) We are seeking a highly organized, bilingual Operations Manager to oversee the day-to-day operations of our teams in Mexico and the United States. This role plays a critical part in maintaining smooth workflows, managing invoicing, nurturing client relationships, and supporting internal coordination. The ideal candidate is a proactive leader with strong communication skills and proven experience managing teams in a fast-paced digital environment.
Experience working in a web design or marketing agency is required. We are looking for someone who understands the pace, challenges, and structure of agency life.
Key Responsibilities:
- Team Oversight & Leadership:
- Lead and support daily operations of cross-border teams (Mexico & U.S.).
- Foster team accountability, clear communication, and consistent performance.
- Schedule and run weekly team meetings, resolve issues, and keep everyone aligned.
- Client Management:
- Serve as a primary liaison for client accounts and ensure satisfaction.
- Oversee onboarding, regular client communications, and relationship nurturing.
- Address client inquiries, requests, and escalations professionally and promptly.
- Invoicing & Payment Tracking:
- Manage invoicing processes across all clients and ensure timely follow-up.
- Coordinate with the accounting team to track payments and maintain financial accuracy.
- Maintain organized records and financial reports.
- Operational Support:
- Create and enforce internal SOPs and operational workflows.
- Organize internal calendars, client meetings, and delivery deadlines.
- Monitor and report on key performance indicators (KPIs) and team output.
- Project & Process Management:
- Track progress across multiple client projects and ensure deadlines are met.
- Support project managers and designers with resource planning and coordination.
- Continuously assess operations to identify areas for improvement.
Required Qualifications:
- 3 years of experience working in a web design or marketing agency.
- Bilingual: Fluent in both English and Spanish (required).
- Strong experience in client services, invoicing, and project coordination.
- Proficient with digital tools such as CRMs, project management platforms (ClickUp, Trello, Asana), and invoicing tools (QuickBooks, Stripe, etc.).
- Excellent communication and leadership skills.
- Highly detail-oriented, proactive, and able to manage multiple moving parts with ease.
Nice-to-Have:
- Experience in a remote or hybrid work environment.
- Background in digital marketing, design, or web development.
- Familiarity with tools like Slack, Google Workspace, and Zoom.
