Position Summary
The position of Affordable Housing Administrative Assistant involves responsible administrative work assisting the Compliance Manager and Property Manager with handling all facets of Bedrock Property Management (BPM) Affordable Housing programs. Duties include assisting with processing applications for admission, maintaining applicant and resident files, processing accounts receivable charges and payments, answering tenant and applicant questions via phone and email, performing unit inspections, and entering accounts payable invoices. Performing these duties requires decision-making in reference to established policies and regulations.
Major Duties and Responsibilities (Illustrative, not all inclusive)
- Works closely with the Property Manager to accept and assist with processing applications and interviewing applicants.
- Performs background checks and verifies information.
- Informs applicants of the policies and procedures governing tenant selection.
- Prepares rent change adjustments, prepares lease violation notices, and files eviction papers as directed by the Property Manager.
- Maintains various resident files and records including records of employment, income, and family status.
- Maintains various records and occupancy statistics.
- Answers resident and applicant questions via phone and email.
- Assists Property Manager with collection of rent and prepares deposits.
- Assists with entry of vendor invoices into accounting software.
- Assists Property Manager with unit inspections and work order management.
- Works with tenants to resolve issues.
- Attends workshops, seminars, and training sessions as directed by the Chief Operating Officer.
- Performs other related duties as directed by the Property Manager or Chief Operating Officer.
- Adheres to BPM’s safety program and procedures.
Desirable Knowledge, Skills and Abilities
- Computer literate with ability to learn and utilize the appropriate BPM software programs.
- Ability to deal courteously and tactfully with residents, coworkers, and the general public.
- Knowledge of the purposes, policies and regulations of BPM as established by management.
- Knowledge of the local, state, and federal laws governing the public (LIHTC, HOME, RD and other subsidized housing programs including health and fire regulations, landlord/tenant relationships, leasing of property and evictions).
- Thorough knowledge of the Tenant Selection Plans (or equivalent) adopted by BPM.
- Knowledge of the organization and programs of other community agencies and groups that can assist BPM and help provide for the health, welfare, and recreational needs of the residents
- Ability to establish and maintain effective working relationships with supervisors, associates, residents, representatives from neighborhoods, community leaders, and federal, state, and local officials.
- Knowledge of report preparation techniques and ability to maintain moderately complex clerical records and prepare reports.
- Knowledge of basic bookkeeping procedures.
- Ability to make mathematical computations with speed and accuracy.
Physical Nature of the Position
Position requires the following physical abilities:
- Ability to sit, stands, or walk for extended periods
- Ability to communicate orally and in writing
- Ability to carry, handle, and move file folders and other common office materials
- Ability to visually inspect buildings and grounds
- Ability to read housing publications and related materials
- Ability to physically operate personal computers, copy machines, telephones, and other common office machines and equipment

Minimum Qualifications
- Two years responsible experience in public or assisted housing, office management, or public administration work;
- Or a combination of education, training, and experience equivalent to the above.
- Must have reliable transportation to travel between properties as needed.
Special Requirements
- Possession of a valid driver’s license.
- Ability to be covered under BPM’s vehicle insurance policy.
- Ability to be covered under the BPM’s fidelity bond.
- Must be willing and able to cross-train with other BPM employees.
- Must be willing and able to work alone after-hours and on weekends to take applications and conduct on-site re-certifications as required.
