Beebe Healthcare is seeking a detail-orientated and highly organized OR Unit Secretary/Scheduler to join our surgical team. The individual in this role will be responsible for managing operating room schedules, maintaining accurate patient records, coordinating communication between medical staff, and performing clerical duties to support efficient department operations.
Responsibilities:- Proficient in ORSOS scheduling process (block scheduling, open scheduling, accuracy of case data, adherence to available case time hours).
- Ability to access ORSOS for patient data, print schedules (long/short versions, volunteer schedules).
- Skilled in Invision patient registration; able to pre-admit TBS status patients.
- Passed mandatory registration competency levels 1 & 2.
- Obtained and maintained NAHAM and CHAA certification. Prepares and enters patient charges per post-case data guidelines with
- 2% error rate.
- Ensures 100% completion of face sheets with Advanced Directive for all outpatients.
- Communicates special equipment/instrument/supply needs to Materials Specialists and resolves conflicts through OR Desk/Charge RN/Nurse Managers.
- Updates OR schedule and ensures necessary pre-authorization before surgery.
- Maintains 100% compliance with pre-authorization process and verifies insurance details.
- Notifies department Nurse Manager/Director of any issues.
- Ensures 100% of Spanish/English consent forms and treatment authorizations are correctly completed.
- Efficiently prepares patient folders/charts with necessary perioperative and quality tracking documents.
- Proficient in office equipment (FAX, copy machine, computer printer).
- Answers and initiates telephone calls professionally, relays messages appropriately.
- Coordinates with MD office staff to confirm necessary paperwork and correct authorization for procedures.
- Previous experience as unit secretary, scheduler, or administrative assistant in healthcare setting preferred
- Knowledge of medical terminology and surgical procedures is a plus
- Proficiency in EHR systems and scheduling software
- Strong organizational, communication, and multi-tasking skills
- Ability to work effectively in a fast-paced, high-stress environment and maintain confidentiality
- Clear Communication Skills Both Written and Verbal
- Able to Keep Confidential Information Regarding Patients, Team Members
- Able to Withstand Crisis Situations
