Position Overview:

As the Office Manager, you will be the backbone of our practice. This pivotal role ensures the smooth daily operations of the office, enabling our clinical providers to focus on providing exceptional care. You will manage administrative tasks, oversee office systems, and maintain a welcoming, efficient environment for both patients and providers. Your leadership will directly impact the success and growth of our practice. We are looking for a detail-oriented, proactive, and compassionate individual who can handle the responsibilities of office management with a high degree of professionalism and empathy.

Key Responsibilities:

  • Operational Leadership: Oversee the daily operations of the practice, ensuring that systems, workflows, and procedures run smoothly. Work directly with practice owner and providers to maintain a productive and collaborative work environment.
  • Patient Experience: As the first point of contact for patients, you become the “face” of the practice. Your role in ensuring a welcoming, empathetic, and seamless experience is vital to patient’s satisfaction and ultimate decision to schedule and continue care at BHD.
  • Administrative Support: Manage intake scheduling, patient records, and billing. Oversee office supplies, equipment, and facility needs. Prepare payroll reports biweekly to provide to office bookkeeper. 
  • Team Coordination: Support and motivate staff, ensuring all administrative functions are completed on time and accurately. Organize and lead team meetings and events. 
  • Problem-Solving & Crisis Management: Address any operational issues or patient concerns promptly, with a calm, solution-focused approach. 
  • Practice Growth & Development: Collaborate with practice owner and marketing strategist to identify marketing opportunities and implement strategies on a daily and weekly basis. Identify opportunities for process improvements and take initiative to roll out changes. Contribute to strategic initiatives that support the growth and success of the practice as a whole.

Qualifications:

  • Undergraduate degree from 4-year university required, Master’s Degree in relevant field preferred
  • A positive, “can do” attitude with the motivation and drive to find difficult answers and implement creative solutions
  • Proven experience in office management, chief-of-staff or senior administrative role, ideally in a healthcare or mental health setting.
  • Exceptional organizational, time-management, and multitasking skills.
  • Excellent interpersonal and communication skills, with the ability to quickly empathize and build rapport with individuals in need.
  • An ability to self-motivate and work independently. 
  • Strong problem-solving abilities, particularly in high-pressure or sensitive situations.
  • Familiarity with electronic health records (EHR) systems, billing software, CRM programs, Asana, Squarespace, social media marketing and newsletter production and distribution.
  • Demonstrated knowledge or understanding of the culture of mental health and/or medical settings including but not limited to the role of confidentiality, team building and the hallmarks of patient satisfaction.

Compensation

Compensation will be discussed during the interview process and will be commensurate with experience.
