What are the responsibilities and job description for the Office Clerk II position at BEI Hawaii?
POSITION SUMMARY
Under general supervision, performs accounting and administrative tasks for the HT&T Truck Center Service Department.
1. Greets customers, assists in pricing repair orders, and creates written estimates as needed.
2. Keeps in contact with customers to update them on the progress of their equipment repairs.
3. Monitors reports, enters data, maintains records & provides clerical assistance for the Repair Shop.
4. Monitors employees’ daily time cards, performs necessary extension of hours to respective job assignments, compiles all time cards after personal review & documentation.
5. Administer Warranty Practice & Procedures in processing of all warrantable claim repairs on-line or manually & keeps warranty files up to date.
6. Issues job numbers for outside work, acquires purchase orders from customers & issues purchase orders to vendors for all materials and sublet repairs.
7. Responsible for acquiring all necessary information from equipment – make of unit, model and serial number, mileage and license plate number – and logging it on job invoices for external (outside job) work estimates on labor and materials prior to work performance.
8. Issues requisitions and maintains controls on shop material & inventory items used on shop jobs and company owned equipment.
9. Keeps Repair Shop Supervisor and General Manager informed about daily work progress against estimated hours, compiles all necessary documentation after completion of job and submits work invoice to Service manager for review prior to finalizing billing.
10. Keeps track of diesel and lubrication inventories, updates files & answers the telephone.
11. Runs errands for the shop, utilizing the company pickup truck.
1. Minimum 1-year customer service, administrative and accounting experience.
2. Excellent customer service and communication skills.
3. Working knowledge of basic accounting practices.
4. A high level of knowledge in general office procedures and various company policies relating to sales, billings, inventories, and record keeping.
5. Demonstrated computer aptitude. Working knowledge of MS Word and Excel.
6. Valid and current State of Hawaii Driver’s License required.
7. Detail-oriented and able to follow instructions.
8. High school diploma or equivalent.
1. Ability to lift and carry up to 25 lbs.
2. Eye-hand coordination and manual dexterity.
3. Exposure to noise levels around 75 decibels and diesel engine fumes for very short periods of time.
4. Frequent use of PC and telephone.
5. Approximately 5 hours of sitting may be required during the workday.
Job Type: Full-time
Pay: $18.00 - $23.00 per hour
