We are seeking a highly organized and proactive Administrative Assistant to be the go-to support person for our team, with a strong emphasis on marketing, event coordination, and administrative support across the company.
Position Description:
The Administrative Assistant will be responsible for providing on-site and remote support to the Vice President, Principal Owner, and various team members, as well as the Mentor (Cleveland) office. This role requires strong coordination and organization skills, the ability to handle multiple tasks efficiently, and a proactive approach to ensuring company operations and communications run clearly and smoothly.
Key Responsibilities:
- Serve as the central administrative support for the Vice President, Principal Owner, and the company both in-person and remote. This includes handling coordination of tasks, project time tracking, collecting credit card receipts, scheduling, and communication across the company.
- Organize company and site specific events, conferences, and client gifts. Assist in planning employee engagement activities (e.g., paint and pour, team outings).
- Oversee office supply procurement, report printing, and maintaining organized work environments.
- Manage a high volume of Outlook calendar meetings and emails, ensuring effective communication and task prioritization.
- Answer, direct, and assist in handling telephone calls and inquiries.
- Assist in managing LinkedIn posts, basic company website updates, and SEO optimization.
- Take meeting notes, summarize key points, distribute and track action items through to completion.
- Ensure seamless communication and coordination across teams and offices. Recommend improvements as appropriate.
Required Skills & Qualifications
- High school diploma required (college degree not required).
- 2 years of administrative experience in a professional environment.
- Proficiency in Microsoft Office Suite: Word, Excel, Outlook, PowerPoint required.
- Experience with Canva for business marketing and/or social media preferred.
- Strong organizational skills with keen attention to detail.
- Excellent communication and interpersonal skills.
- Ability to manage tasks and multiple priorities autonomously, requiring strong self-direction and minimal supervision.
- Self-starter with a proactive approach to problem-solving.
- Proficient in utilizing technology to streamline administrative tasks preferred.
Compensation & Benefits
- Competitive salary: $45,000 - $55,000, based on experience
