Job Description
The Regulatory Affairs Document Control Coordinator plays a crucial role in maintaining and organizing company-wide regulatory and third-party certification standards (e.g., Organic, Kosher, Non-GMO Project verified). This position will ensure the upmost compliance with all written processes, procedures and/or applicable requirements. Additionally, the coordinator will develop and manage compliance-focused document management systems to support the company's regulatory needs. This role will require strong cross functional collaboration included but not limited to Quality, Purchasing, R&D and more.
Essential Duties and Responsibilities
Supports document management for all regulatory and company-wide third-party certifications (e.g. Organic, Non-GMO Project, Kosher, etc.) ensuring that all regulatory related issues are addressed in compliance with written processes, procedures and/or applicable requirements. This includes but is not limited to:
- Ensuring packaging and ingredient (specs, raw material, lab results, etc.) are up to date in all third-party certifications
- Review and regularly maintain raw material documentation
- Maintain documentation trackers and ensuring licenses are up to standard
- Coordinate supportive documents for product claims and regulatory compliance
- Lead regulatory assessments of raw materials with a critical lens, making clear recommendations and working closely with cross-functional teams to ensure regulatory compliance during product development
- Provides support and follow through on any complications identified during organic audits
- Other duties as assigned within job scope
Qualifications
Minimum degree and experience:
- Bachelor’s degree in Food Science, Regulatory Affairs, Nutrition, or similar field
- 2 years’ experience in a fast-paced, collaborative office environment
- Required 2 years’ experience in a Quality Assurance/Regulatory role in food or personal care manufacturing environment
- Language Skills: Proficient in written and spoken English required
- Technical Proficiency: Good working knowledge and advanced skills in Microsoft Access, Word, Excel, Outlook, PowerPoint, Relational Databases, and the Internet
- Familiarity with FDA regulations, HACCP, SQF standards, and systems
- Proficient in using computers, label printing systems, and standard office equipment
- Experience working with comprehensive document management system
- Any combination of educational and work experience that would be equivalent to the stated minimum requirements would qualify for consideration of this position
- Work Environment: Ability to perform work on a hybrid schedule in our NYC office, with up to 10 days of remote work per month.

Working Conditions
Work is performed largely in an office environment. Hours of work will generally be during regular business hours with at least 40 hours a week. At times there will be some variation in work hours due to special projects, deadlines and other concerns. Up to 5-10% business travel may be required.
