The Client Intake Associate ensures that prospective and current clients receive a warm and professional first impression while providing seamless administrative support. The Client Intake Associate will be responsible for handling incoming calls, inputting leads into our CRM, monitoring email communications, welcoming clients to our offices, and fostering an excellent customer experience.

What You'll Do
- Answer incoming client calls promptly and professionally, providing helpful and courteous assistance for Belknap Landscape and associated brands.
- Input and manage client leads in the CRM system with accuracy and attention to detail for Belknap Landscape and associated brands.
- Monitor and respond to email inquiries in a timely manner, ensuring a high standard of communication for Belknap Landscape and associated brands.
- Greet and assist clients who visit our office, creating a welcoming and professional atmosphere.
- Coordinate with internal teams to direct client inquiries and provide relevant updates.
- Maintain organized records of client interactions and appointments in the CRM.
- Assist in ensuring client satisfaction through excellent service and follow-up practices.
- Collaborate with team members to identify opportunities for improving the client intake process
- Assist in receiving payments in person, over the phone, or via other methods
- Other administrative support tasks as assigned
What You'll Need
- High school diploma or equivalent (Associate's or Bachelor's degree welcomed).
- Proven experience in a customer service or administrative role, preferably in a professional office environment.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
- Proficiency with, or the ability to become proficient with Aspire CRM within 90 days
- Strong communication skills, both verbal and written.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Professional demeanor with excellent interpersonal skills.
- Ability to handle sensitive client information with confidentiality.
- Proactive problem-solver with a commitment to delivering high-quality service.
