Job Summary
BELL Construction is hiring a Project Office Administrator in Nashville, TN. The Project Office Administrator is responsible for the day-to-day administrative tasks in the project site office to support efficient operations of the project, such as greeting guests, answering incoming calls, coordinating mail and deliveries, ordering office supplies, and assisting the project team as needed.
Job Responsibilities
- Screens incoming phone calls and ensures they are transferred to the appropriate team members and greets all guests in a warm and friendly manner.
- Coordinates meetings and helps manage calendars.
- Distributes project specific communications to office staff.
- Assists with planning and execution of project-related events and catering orders.
- Orders and maintains all project site office supplies.
- Sends and receives mail and packages and distributes appropriately.
- Provides administrative support and notary services to project team as needed.
- Collaborates with project team and key stakeholders to ensure efficient operations.
- Identifies opportunities for process improvement and standardization at the project site office.
- Maintains detailed project logs to ensure compliance with project regulations.
- Documents any changes made by subcontractors to keep accurate project records accordingly.
- Tracks project goals for LEED sustainability.
- Performs additional responsibilities as requested.
Education & Experience
- Minimum required – High school diploma or GED.
- Preferred – Bachelor's degree.
- Minimum required – Three (3) years administrative experience.
- Preferred – Prior experience in construction or related field.
Knowledge & Skills
- Must have or be willing to obtain certified notary public within 6-months from hire.
- Proficient in Microsoft Office Suite, including Excel, PowerPoint, Outlook, and Word.
- Excellent written and verbal communications skills.
- Able to maintain confidentiality at all times.
- Strong interpersonal and customer service skills.
- Excellent organizational and time management skills with high attention to detail.
- Ability to work in a fast-paced environment.
- Must be able to carry, push, and pull at least 20 pounds occasionally.
