Job Summary:

The Mortgage Operations Support Specialist plays a vital role in assisting the Operations team, Loan Officers, Loan Officer Assistants, and Processors with various tasks related to mortgage loan processing. This position is responsible for ensuring the accuracy, efficiency, and compliance of loan documentation and procedures. The ideal candidate will be highly detail-oriented, proficient in mortgage processing systems, and capable of multitasking in a fast-paced environment.

Primary Duties:

• Credit Report Management:
• Conduct credit simulations and rescores as requested by Loan Officers.
• Merge existing credit reports and generate new reports for non-borrowing spouses in accordance with FHA loan requirements.
• Loan Processing Support:
• Handle loan duplication requests and remove loans from underwriting and closing queues as necessary.
• Assist in modifying borrower information within loan origination systems such as Encompass.
• Ensure timely removal of underwriting approvals as required.
• Assist with staging loans back to approval from Clear to Close (CTC) (upcoming responsibility).
• Assist with adjusting closing dates when necessary (upcoming responsibility).
• Pipeline Monitoring & Workflow Coordination:
• Track and manage the pipeline of loans approaching closing deadlines to ensure smooth processing.
• Regulatory Compliance & Verification:
• Confirm FHA Mortgage Insurance Premium (MIP) and VA Funding Fee (FF) accuracy upon request from Loan Processors.
• Ensure compliance with company policies, industry regulations, and lending guidelines.
• General Support & Communication:
• Provide administrative and technical support to sales and processing teams.
• Assist in maintaining up-to-date policies and procedures related to mortgage processing.
• Communicate effectively with internal teams to resolve loan-related issues promptly.
• Send and retrieve mail and packages, distributing them accordingly.
• Answer calls on the main phone line as needed.
• Know by name and face as many customers and employees as possible, calling them by name as often as possible.
• Know and practice LOCBUTN, our Golden Rules, and Bell Bank Customer Service Standards.
• Know, understand, and live the company values and bottom line.
• Conduct activities consistent with established Bell Bank policies, procedures and systems, the Bell Bank Employee Conduct policies, the Bank Secrecy Act and all applicable state and federal laws and regulations.
• All employees are responsible for information security, including compliance with policies and standards which protect sensitive information.
• Prompt and reliable attendance.
• Perform other duties as assigned.

Added Regional Duties: (In certain regions, these duties are to be performed in addition to all the above duties.)

• Insurance & Title Support:
• Request homeowners and master insurance policies upon receipt of insurance quotes.
• Oversee the insurance inbox and follow up as necessary.
• Update Encompass screens with insurance policy data.
• Review insurance coverage for sufficiency and accuracy.
• Maintain communication with insurance agents, processors, and Loan Officer Assistants as needed.
• Act as a backup for title setup, Verification of Employment (VOEs), and ordering condo documents.
• Pipeline Monitoring & Workflow Coordination:
• Monitor and review Right to Copy of Appraisal waiver reports.
• Monitor and manage the Reg B pipeline report.
• Assist with managing invoices.

Job Skills Required:

• Minimum of at least one year of mortgage experience.
• Some hands-on knowledge of mortgage loan processing, basic mortgage industry tasks and terminology, TRID, FHA, VA and Conventional loan products, basic understanding of mortgage lending including the home loan process.
• Proficient computer technology skills. Typing skills necessary in addition to a general understanding of Microsoft Office Suite products. Encompass experience is a plus.
• Detail oriented with the ability to manage daily work assignments and tasks in order to meet required timelines associated with such tasks.
• Excellent communications skills, both written and oral.
• Ability to work in a fast-paced environment while maintaining excellent organizational skills, attention to detail along with good time management skills.
