Job Summary:
This position prepares loan documents for all retail loans, including but not limited to all preliminary disclosures for Home Equity loans and lines. This position is the secondary point of contact with Retail Underwriting Department, lenders, and 3rd party vendors. This position determines fees required on loans and lines and also orders title work. This position also prepares Adverse Action Notices in Doc Prep's absence. This position ensures that documents are accurate, complete and comply with Regulation Z, RESPA, Regulation O, Regulation B, and the CFPB regulations.
Primary Duties:
- Loan Documentation:
- Utilize LaserPro, nCino, and Microsoft Word to prepare documentation for all retail purpose loans, including loan extensions and modifications, according to policy guidelines.
- Review Home Equity applications and all other retail loan requests for completeness and accuracy.
- Determines which preliminary disclosures are required for Home Equity loans and lines.
- Orders preliminary title work for real estate loans.
- Monitors work queue to ensure documents are completed according to established Service Level Agreements.
- Verify whether real estate property is located in a flood zone after underwriting orders flood determination.
- Mail disclosures to customers according to regulatory timing requirements.
- Verifies fees from the title companies, and various business partners to determine correct fees are disclosed to the customer in disclosures.
- Perform a final review of documentation to ensure all loan documents are prepared accurately and according to documentation requirements consistent with the type of loan, state of origination and regulatory guidelines.
- Make required corrections and changes to documents as requested.
- Forward completed loan package to lender for execution/signature by customer.
- Utilize nCino to generate adverse action notices, as required by regulations.
- Assist with training new employees.
- Provide support and assistance, and other related duties as assigned, in support of the daily functions of the Retail Loan Documentation Department.
- Participate in internal and external training to maintain knowledge of Bell Bank products, systems and other appropriate training as required.
- Adhere to all Bell Bank standards, policies and procedures as well as banking laws and regulations.
- Utilizes problem solving skills, external resources and internal resources to resolve issues as efficiently as possible.
- Escalates complex problems to Team Manager or Retail Loan Administrator.
- May assist with special projects designated by the Team Manager or Retail Loan Administrator.
- Know by name and face as many customers and employees as possible, calling them by name as often as possible.

Job Skills Required:
- High school diploma or equivalent.
- Detail oriented and possess good working knowledge of rules, regulations and policies relating to loan documentation acquired through 6 to 12 months' experience in loan documentation.
- Competent in the use of personal computer systems, internet applications and electronic mail, and various windows based software applications.
- Ability to prioritize, meet deadlines and work independently.
- Good communication skills to interact with the lenders and Loan Assistants.
- Ability to work well under pressure.
- Excellent analytical, decision-making and effective problem resolution skills.
- Proven ability to work productively and efficiently without direct supervision.
- Demonstrated ability to manage and multi-task in a high-volume work flow with multiple priorities, interruptions and possible short-term deadlines.
