Production Office Administrator
Location: Broken Bow, Oklahoma
Schedule: Monday-Friday 7:00 AM - 3:30 PM
Pay: Starting at $20.70/hour

We are seeking a Production Office Administrator to provide vital administrative support across multiple departments. If you thrive in a dynamic environment and enjoy working across multiple functions, this role is for you!
JOB PURPOSE:
This position supports our Operations, Sales, Logistics, Quality, Accounting, and Environmental, Health & Safety Departments and is responsible for data entry, auditing, and reporting of key production metrics.
RESPONSIBILITIES:
Operations Support:
Audit and record daily treating and framing data.
Record daily plant kiln data and chemical usage.
Ensure all reports are submitted to the appropriate Finance team members and filed on-site.
Gather and submit freight invoices to the Finance team.
Prepare and submit month-end reports.
Process and track chemical purchases.
Produce and distribute laser-printed tags for multiple plants.
Woodlands Support:
Direct calls to the appropriate Forester.
Manage timber sale notices.
Provide general support for the Procurement Manager and Foresters.
Process and maintain timber sale files including contracts, check requests, and scale summaries.
Quality & Compliance:
Audit and approve third-party inspection invoices by comparing them to internal production records.
Logistics & Accounting:
Gather and submit daily fuel delivery purchase orders.
Prepare, code, and submit invoices for approval.
Create purchase orders and maintain a purchase order log for yard sales.
Maintain accounting reports (Scale, Inbound, Outbound, etc.).
Send outbound bills of lading, yard change reports, and load slips to accounting daily.
Replenish petty cash and create petty cash reports.
HR & Employee Support:
Process bi-weekly payroll in ADP.
Maintain employee files and assist with onboarding.
Ensure timely new hire onboarding in coordination with HR.
Maintain the employee photo directory.
Environmental, Health & Safety:
Manage record-keeping for Environmental Health & Safety forms and reports.
General Administrative Support:
Provide process improvement ideas to management and IT.
Answer and direct phone calls.
Handle mailings, typing, filing, and copying tasks.
Run errands and make deliveries as needed.
Coordinate with the cleaning company for office maintenance.
Maintain and distribute office supply inventory.
Support cross-functional projects as needed.
QUALIFICATIONS:
Education & Experience:
High school diploma required; Associate’s or Bachelor’s degree preferred.
Accounting experience is a plus.
Proficient in Microsoft Office Suite, including Excel and Excel formulas.
Strong numerical and analytical skills.
Familiarity with Metric and American Standard measurement systems.
Skills & Competencies:
Strong organizational and time management skills.
Ability to work independently with minimal supervision.
Excellent verbal and written communication skills.
Critical thinking and problem-solving abilities.
Strong interpersonal skills and ability to collaborate across teams.
Comfortable handling ambiguity and adapting to change.
WORK ENVIRONMENT & PHYSICAL DEMANDS:
This role requires long periods of computer use in a sitting position. The employee must also be able to lift up to 25 lbs.
