The Business Office Manager/HR Designee coordinates and assists the Executive Director. Maintains and provides delivery of Human Resource services as directed. Responsible for the timely and accurate entry of a variety of data including patient information, Human Resource information, billing and payroll information.
Business Office Manager/HR Designee Specific Job Duties
- Provides assistance to the Supervisor, preserving the confidential nature of items of which they have knowledge. Must maintain the files, supplies and general office condition in an orderly manner.
- Assists the functions of billing, payroll, Human Resource management, and patient care management through timely and accurate data entry and system reporting and verifies accuracy of data entered through use of information systems reports.
- Assists with scanning, data entry, answering phones, filing, copying, faxing mail and other general office duties as assigned. Demonstrates superior customer service skills when answering phones and greeting visitors/staff
- Is responsible for maintaining up-to-date personnel files i.e. all necessary actions for new employees and ensures that employees complete required competencies and compliance requirements.
- Alerts appropriate management team members regarding late or missing documents required for data entry.
- Facilitates benefit information to employees.
- Provides assistance during the recruitment process i.e. prepares recruitment material, screens application for requirements and arranges for the notification of candidates, develops creative approaches with ads.
- Knowledgeable of applicable state, federal and local laws and regulation related to Human Resource i.e. hiring, termination, job status change, leave of absence etc.
- Assist and advise company managers about Human Resource policies, procedures and guidelines.
- Maintains confidentiality of patient and organization information at all times.
- Assisting with evaluating quality assessment performance improvement (QAPI) plans and participates in QAPI teams and activities, as needed.
- Knowledge of fiscal and regulatory issues related to hospice services.
- Completes necessary Agency documentation on a timely basis and in line with Agency Procedures.
- Supports the Agency’s mission, vision and values.
Administrative Assistant/HR Designee Minimum Requirements
- Minimum of two (2) year’s experience preferably in hospice or health care, or graduation from a one (1) or two (2) year business college preferred or high school graduate or equivalent.
- Valid driver’s license and proof of current insurance and dependable transportation required
- Intermediate personal computer skills including electronic mail, routine database and spreadsheet and spreadsheet activity and word processing
