What are the responsibilities and job description for the Administrative Assistant position at Bellarmine Jesuit Retreat House?
We are seeking an organized, detail-oriented, self-starter to serve as an Administrative Assistant. This person will have a passion for helping people, a welcoming spirit, and proven success working in a professional environment.
The successful candidate will:
- Communicate across generations and demographics, by phone, in writing, and in person
- Show an ability to exercise good judgment, discretion, and confidentiality
- Schedule, calendar, and attend meetings
- Manage and organize multiple deadline driven projects simultaneously
- Answer phones and greet guests
- Update and create database records and generate reports from our database
- Plan staff outings, parties and meetings
- Run occasional errands
- Manage Resource Center of books and prayer resources by ordering, and displaying materials.
- Purchase supplies and maintain office equipment
- Assist the Executive Director, and Associate Director with other duties
- Work in person, estimated 40 hours per week, with a few evenings and occasional weekends required for meetings and special events.

Qualifications:
· At least 2 years of relevant experience
· Speak English fluently, and ideally is also fluent in Spanish
· Must have a kind, welcoming, can-do, service-oriented demeanor
· Must be detail oriented and a strong communicator – verbally and in writing
· Proficient computer skills and knowledge of Microsoft products, including Word, Excel, and PowerPoint. Comfortable using the Google Suite of products (Google Docs, Google Sheets, and G-mail)
· Must be comfortable inputting data into a database and exporting data for reports.
· Must be able to work in-person Mondays to Fridays
· Must be comfortable lifting up to 50 pounds of office supplies (books, paper, etc.)
· Must have a valid driver’s license
