Position Summary
This position plays a crucial role in developing accurate financial estimates and ensuring the successful completion of projects by overseeing and coordinating all aspects of the project.
Structure
Full-time, exempt position. Reports to Construction Manager.
Functional Roles and Responsibilities - Estimating
Cost Estimation
Assess project requirements and scope to understand the materials, labor, and equipment needed
Analyze costs associated with materials, labor, and overhead to determine overall project costs
Develop and manage project budgets, ensuring they align with cost estimates and financial constraints
Create detailed and accurate cost estimates for inclusion in project proposals
Documentation
Prepare and review contracts, ensuring they reflect negotiated terms and conditions
Generate and manage purchase orders for materials and services
Maintain accurate records of transactions, contracts, and supplier information
Collaborate with the bidding team to provide necessary cost documentation for competitive bids
Collaboration
Work closely with project managers, engineers, and other stakeholders to understand project requirements and constraints
Communicate effectively with internal teams and external suppliers to ensure a smooth procurement process
Market Research
Stay informed about market trends, pricing, and new products to make informed procurement decisions
Assess the capabilities and reliability of potential suppliers in the market
Cost Monitoring
Monitor actual costs against estimated costs throughout the project lifecycle
Analyze any variances between estimated and actual costs and take corrective actions as needed
Functional Roles and Responsibilities – Project Management
Project Planning
Defining the project scope, objectives, deliverables, and timeline. Develop a detailed project plan that outlines tasks, milestones, resources, and schedules
Resource Management
Allocating and managing personnel, budget, equipment, and materials. Ensuring that resources are used efficiently to meet project goals. Ability to demonstrate pro-active planning through material acquisition and delivery to project location at the appropriate time
Team Leadership
Leading and managing multiple teams, at multiple locations, which shall include assigning tasks, setting expectations, providing guidance, and encouraging collaboration among team members
Communication
Serving as the primary point of contact for clients and team members. Ensuring that everyone is informed about project status, changes, and any issues that arise. Ability to create and execute change orders in a timely manner so as not to delay an ongoing project
Risk Management
Identifying potential risks that could impact the project and developing strategies to mitigate or manage these risks. This includes contingency planning and proactive problem-solving
Budget Management
Managing the project budget, including tracking expenses, forecasting costs, and ensuring that the project stays within financial constraints. Completes review of “actual hours” versus “bid hours” for all managed projects and submits recommendations to Construction Manager and Construction Superintendent for updated bidding strategies if necessary
Timeline Management
Monitoring project progress to ensure that milestones and deadlines are met. This includes developing a comprehensive schedule in advance of the project’s intended start date, adjusting schedules and resources as needed to keep the project on track. This requires the ability to make timely decisions during the project to ensure schedules are met
Quality Control
Ensuring that the project deliverables meet the required quality standards. This may involve setting quality benchmarks, conducting reviews, and overseeing testing of installed equipment
Project Closure
Ensuring that all project objectives have been met, completing any final deliverables, conducting a post-project review with client and BVLS team, and ensuring a seamless transition to maintenance team
Client Relations
Successfully always represents BellaVista
Able to respond properly to the client and follow-up to make sure their needs have been completed to their satisfaction
Able to recognize when they do not have the answer for the client and let them know they will find it out or get the Superintendent involved
Keep the Construction Manager aware of all client concerns and communication on job sites
Maintain positive, responsive, and flexible attitude to all clients
Communication
Communicates with clients and team members kindly and effectively
Upon completion of work, comprehensive document of before and after photos in PDF format
Maintain open and clear communication with clients to update them on project progress
Address client concerns and changes in project scope or requirements
Clearly communicates via text, phone call or email issues, problems, or questions in a timely manner
Able to respond properly to the client and follow-up to make sure their needs have been completed to their satisfaction
Keeps the Executive Team aware of all client concerns and communication on the job site
Maintain a positive, responsive, and flexible attitude to all clients
Safety
Maintain safe working conditions in their district at all times including job site and crew’s operation
Teach and reinforce proper safety practices to their crews
Follows company procedures on discipline if any safety rules are broken
Have no accidents due to not following the company safety rules in their district
Inspects all job sites for unsafe working conditions and potential liabilities to BellaVista and our clients
Knowledge, Skill & Abilities
Thorough knowledge of standard practices, materials, tools, and equipment utilized in landscape construction and maintenance
Ability to communicate with homeowners, property manager, property staff
Ability to understand and follow oral instructions
Ability to assign and supervise the work of others, provide instruction, and inspire confidence
Physical Requirements
The physical demands described here must be met by an employee to successfully perform the essential functions of this job. Physically perform the basic life operational functions of climbing, balancing, stooping, kneeling, crouching, crawling, reaching, standing, walking, pushing, pulling, lifting, grasping, feeling, talking, hearing, and repetitive motions.
Perform medium work exerting up to 50 pounds of force occasionally, and / or up to 20 pounds of force frequently, and / up to 20 pounds of force constantly to move objects.
Possess the visual acuity to operate equipment and motor vehicles, perform trades tasks, inspect the work of others, and review work for accuracy, neatness, and thoroughness.
Education and Experience
Must have at least 3-5 years of related experience.
Must be at least 21 years of age.
Prior experience with landscape construction is required.
Knowledge of applicable laws, codes, standards, and industry practices relating to Landscape Construction.
Must have a good understanding of modern business practices and procedures, elements of correct English usage, grammar, spelling, vocabulary, punctuation, and basic mathematics.
Knowledge of Microsoft Word and Excel is desired.
Excellent organizational skills and the ability to maintain effective working relationships with others is a must.
Ability to work nights, weekends, and holiday periods to meet business needs.
Special Requirements
Possession of a valid Class C California driver license.
Able to be approved as a driver with company insurance.
