Job Description:
The Regulatory Affairs Associate will support the Regulatory team by generating regulatory documentation for transportation, fragrance development, marketing and customer needs, while ensuring alignment with regulatory and company guidelines.
Job Responsibilities:
- Support various departments, including but not limited to Customer Service, Logistics, Perfumery, Fragrance Development, etc., and across multiple organizational levels by addressing regulatory requests.
- Author and manage various technical regulatory documents, including, but not limited to: GHS SDS (in different countries/regions), IFRA Statements, Allergen Statements, and Prop 65 Statements, using provided software platforms (e.g., ExESS, Microsoft Dynamics/CRM, Intranet applications).
- Process and fulfill customer regulatory requests by correctly generating and delivering required documents, while meeting assigned deadlines.
- Support the collection and organization of supplier material data within the Regulatory team.
- Assist in maintaining regulatory documentation and organizing folder structures within the Regulatory Department.
- Track priorities and address potential delays while communicating effectively with relevant team members across departments.
- Participate in departmental meetings to gain regulatory insights and stay informed on industry updates.
- Independently compose routine correspondence as needed.
- Proactively identify risks and collaborate with key stakeholders to resolve regulatory issues, propose solutions, drive change, and support positive outcomes.
- Perform other work-related duties as assigned.

Requirements
Education and Experience:
Education and Experience:
- Associate degree, bachelor’s degree, or equivalent experience in a related field (Regulatory Affairs, Chemistry, Biology, Toxicology, Environmental Science, Medical compliance, or a relevant discipline).
- Experience in regulatory affairs, compliance, quality assurance (QA), documentation management, or a related field. Experience in fragrance, cosmetics, pharmaceuticals, medical devices, chemical manufacturing, or food & beverage industries is a plus.
- Experience with regulatory documentation such as SDS, IFRA Statements, Allergen Statements, Prop 65 compliance, and other related documents is preferred but not required.
- Familiarity with regulatory software (e.g., ExESS, Microsoft Dynamics, regulatory databases) is a plus but can be trained on the job.
Skills and Competencies:
- Strong attention to detail for managing documentation and ensuring regulatory compliance.
- Effective written and verbal communication skills for interacting with internal teams and customers.
- Ability to work independently and manage multiple priorities while meeting deadlines.
- Basic proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Ability to analyze regulatory data and interpret compliance requirements.
- Proactive problem-solving skills with the ability to identify and communicate potential risks and regulatory challenges.
- Understanding of quality assurance (QA), environmental health & safety (EHS), or other compliance-based processes is beneficial for ensuring alignment with regulatory guidelines.
- Experience with supply chain compliance, including knowledge of transportation regulations or product safety labeling, is a plus.
- Must be able to work in an office setting with prolonged periods of sitting and computer use.
- Ability to collaborate across multiple departments in a fast-paced environment.
- Occasional lifting of up to 15 lbs. may be required for document handling or storage.
