Job Description:
Due to increasing business activity and to further build upon our continued success, Belle Aire Creations is seeking an additional role and are recruiting for a ‘Sample Fulfilment Library Coordinator’ to work with the existing team.
Our Library coordinator’s primary goal is to study library inventory, track bottles checked in/out using our systems software to expedite samples through selection to final shipment. To do so, coordinators must follow current procedures and Good Manufacturing Practices (GMP’s), enter information into our customer resource management system, and communicate their progress with upper management. You will support the creative process alongside Production Staff, Evaluation, Sales, R&D, Applications, Logistics, Customer Service and Quality Control. Sample Fulfilment Library Coordinators ultimately report to the Vice President of Global Operations, the position reports directly to the Director of Sample Fulfilment on a direct basis.
Job Responsibilities:
- Curate and maintain the olfactive library collection, including cataloging new additions and organizing existing samples.
- Record & manage fragrance bottles check-in and check-out process.
- Send compounding requests for library refills.
- Measure inventory grams of library bottles and check in and record in system.
- Run regulatory reviews on library bottles and indicate Pass/Fail in system software.
- Address and resolve any issues related to sample requests/briefs in a timely manner.
- Provide regular reports on library needs.
- Support cross-departmental projects as needed.
- Work to maximize all Sample Process efficiencies.
- Perform other duties as assigned.

Requirements
Education and Experience:
Education and Experience:
- High School Diploma or GED required; Associates or Bachelors’ degree preferred.
- 3-5 years relevant experience in production control, production planning, or coordinating in a manufacturing environment.
- Excellent oral and written proficiency in the English language.
- Production/Planning skills: Knowledge of Good manufacturing processes (GMP’s).
- Ability to work well under pressure.
- Deadline oriented.
- IT skills - Proficiency in using common PC applications.
- Excellent ability to work with others.
- Cognitive (Reasoning):
- Apply principles of rational systems to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
- Interpret a variety of instructions furnished in written, oral, visual, or schedule form.
- Communication:
- Vocalize and explain detailed data and problem-solve, both in-person and by telephone Must have good communication skills (both verbal and written)
- Compose routine correspondence on own initiative
- Make comprehensive notes in English
- May involve a large volume of such composition.

- Must be able to lift 30-lbs onto waist high shelves
- Must be able to lift and carry a min of 25lbs.
